Your Role
As the Proposal Coordinator, your day-to-day will always be different with tasks and priorities changing based on deadlines. One day may be writing content for a submission, another may include copy editing long, detailed documents, and another might focus on coordinating with other members of the business to get information that is needed. Other tasks might include helping update our databases, looking for new opportunities to pursue, or formatting files using Word, Excel, Powerpoint, and InDesign.
This entry-level position is an important support function to the Proposal Team and to the entire company, to help us reach our business development targets and overall company growth strategy. It requires strong organization, time management, and communication skills.
Responsibilities
- Write, revise, and edit resumes, project sheets, and other proposal materials in support of the Proposal team and Business Units
- Provide editing as required to ensure the proposal response is accurate, concise, and effective, looking at wording, grammar, and consistency
- Perform opportunity tracking by searching MERX, Biddingo, and similar tender sites for new opportunities and distribute them as appropriate
- Provide assistance with the formatting of documents to create visually appealing documents and ensure consistency with brand standards
- Perform data entry tasks and update proposal systems as required
- Coordinate the proposal response process, from receipt of RFP to the printing and submission of the final product
- Define and manage the proposal response plan, schedule, and internal communications associated with the proposal development including follow-up with the contributors
- Actively participate in proposal strategy meetings, researching internal and external information, and distilling into win strategies for the submission
- Ensure management and follow-up of issues and information requests
- Communicate with senior-level managers within and outside of the company
Qualifications
- Post-secondary degree in Communications, Journalism, Marketing, Writing, English, or equivalent work experience.
- Advanced working knowledge of MS Office products with strong Word skills.
- Excellent writing, editing, and proofreading skills.
- Self-starter with superior organization skills, with the ability to prioritize tasks, track projects, and meet deadlines
- Good time management skills with ability to juggle multiple projects simultaneously, work under pressure, and meet tight deadlines
- Friendly, personable with the ability to build harmonious relationships with both internal and external members of the project team.
- Enjoys working in a team environment
- Working knowledge of Adobe Creative Suites software, in particular InDesign, is a strong asset.
Approximate Base Salary Range for Role: $45,000 CAD to $55,000 CAD.
Base Salary pay ranges are determined by role, level, and location and reflects the minimum and maximum target for new hire base salaries for the position. Within the range, individual pay is determined by work location and additional factors, including job-related skills, experience, and relevant education or training. Annual bonus opportunities are in addition to base salary.
