Position Summary:
The Social Services Administrative Assistant provides essential administrative and clerical support to Collington's Social Services and Navigation team by coordinating daily activities within the department. This role ensures the department’s efficient operation and helps facilitate communication and services for residents, families, and team members. The Social Services Administrative Assistant is a key contributor to efficiently delivering high-quality care and providing exceptional customer service to the community.

Essential Functions:

Administrative Support:
• Maintain and organize resident records, files, and documentation, ensuring accuracy and confidentiality.
• Prepare and distribute correspondence, reports, and meeting agendas for the Social Services & Navigation team.
• Schedule and coordinate appointments, meetings, and family conferences for the department.
• Assist in preparing care plans and maintaining records for audits and compliance.
• Assist with the planning and coordinating of social services programs, activities, and events.
• Track deadlines, follow up on tasks, and support the team in meeting compliance and documentation requirements.
• Work collaboratively with other departments to address residents’ needs.
• Manage incoming calls, emails, and walk-in inquiries professionally and empathetically.
• Assist residents and families in completing forms or navigating resources when needed.
• Provide administrative support during resident transitions, such as new admissions or level-of-care changes.

Resident & Family Interaction:
• Serve as the first point of contact for residents and families seeking assistance from the Social Services department.
• Provide information about available services, resources, and community programs.
• Relay messages between residents, families, and the Social Services & Navigation team promptly and accurately.

Data Management and Reporting:
• Input and update electronic medical records (EMR) and other databases used by the department.
• Compile and prepare reports for internal use or regulatory inspections.
• Monitor and maintain departmental supplies, forms, and materials.
Education and Experience
• Bachelor’s degree in social work, Human Services, Healthcare Administration, or a related field is preferred. Alternatively, candidates with 3-5 years of relevant experience in social services, senior care, or healthcare administration will be considered.
• Minimum of 2 years of experience in an administrative or clerical role, preferably in a healthcare or senior living environment.
• Demonstrated knowledge of state and federal regulations related to senior care is a plus.

Required Knowledge, Skills, and Abilities
• Strong organizational and time management skills, with strong attention to detail.
• Excellent interpersonal and communication skills, both written and verbal.
• Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with electronic medical records (EMR) systems.
• Ability to maintain professionalism, discretion, and confidentiality in handling sensitive information.
• Empathy and patience in working with older adults and their families.
• Demonstrate a commitment to the core values of the organization’s service to the community.

1. Must be able to stand and walk short and long distances.
2. Must be able to sit in front of a computer for several hours a day.
3. Must be able to lift and/or carry objects less than 20 pounds.
4. May require occasional evening and weekend hours for events and meetings.

Salary: Up to $60,000/year based on experience.
