Position Summary:
Under the direction of the Executive Director of Operations, the Operations Assistant performs highly responsible and confidential executive-level administrative duties, project management, and strategic communication functions. The Operations Assistant is a central hub for all operations departments, public relations, and data analytics. It assists with the Alumni Foundation and event planning. It secures new fundraising efforts via annual gives, manages the Bloomerang platform and grants via statewide and national foundations, and ensures all processes align with the CEC mission and operations strategic goals. The role requires a detail-oriented, service-focused professional who takes initiative and thrives in managing multiple projects, timelines, and deadlines.
Essential Duties and Responsibilities:
1. Operational Support
· Develop and post the monthly operations meeting calendar.
· Organize operations retreats (two times per year).
· Create operations meeting agendas, coordinate with leadership, and post related materials.
2. Communication Hub
· Serve as the centralized operations messaging and communications hub, ensuring consistency and professionalism across internal and external channels.
· Under the supervision of the Executive Director of Operations, collaborate with schools, leadership, and CEO to create network-wide communications.
· Collaborate with the Project Manager regarding content updates to the CEC website, ensuring alignment with ADA compliance and accessibility standards.
· Analyze data and enrollment trends to guide communication strategies.
· In collaboration with the Executive Office Administrator, maintain the Bloomerang donor management system, ensuring accurate alumni and donor contributions records, updating contact information, and generating reports as needed.
· Assist in donor outreach and engagement efforts, including contacting potential donors, coordinating communication campaigns, and supporting fundraising initiatives.
3. Project Management and Data Analytics
· Assist the Executive Office Administrator in managing multiple projects, including grant writing, applications, and team-based initiatives.
· Securing funding Serve by applying for federal, state, or competitive grants.
· Develop reporting mechanisms for tracking key metrics and organizational progress.
· Create data-driven pathways to measure the effectiveness of the Operations Department's impact on increasing enrollment, retention, and graduating students.
4. Operational Oversight
· Assist the Executive Director of Operations with strategic initiatives.
· Assist the Executive Director of Operations with daily work coordination and communication across the network and the schools.
· Disseminate projects timely, meeting the deadlines.
· Act as the organizational liaison to ensure alignment between network activities, compliance requirements, and strategic objectives.
· Ensure accurate and timely communication of key initiatives to Heads of School (HOS) and other stakeholders.
5. Event Coordination
· Plan and execute key events, including Gala and Alumni Foundation events annually.
· Support other events as needed.
6. Administrative and Calendar Management
· Serve as the primary confidential assistant to the Executive Director of Operations, relieving them of administrative and organizational tasks.
· Manage the Executive Director of Operations calendar, aligning meetings and engagements with organizational priorities.
· Coordinate and organize operations leadership meetings, tracking follow-ups and ensuring timely completion of action items.
· Represent the Executive Director of Operations at special events and meetings as needed.
7. Other duties assigned by the Executive Director of Operations

Education and Experience:
· Bachelor’s degree in Business Administration, Public Administration, or related field.
· Five years of progressively responsible experience in executive-level administration, project management, or communications.
Knowledge of:
· Marketing and enrollment strategies.
· Project management principles and grant writing processes.
· Best practices in public relations and content development.
· Managing events.
Ability to:
· Develop, implement, and monitor processes to enhance organizational efficiency.
· Create and manage communication plans tailored to both internal and external stakeholders.
· Analyze data to guide strategic decision-making, and measure progress.
· Lead projects and events from inception to completion, coordinating across multiple teams.
· Build strong relationships with diverse stakeholders, maintaining professionalism and confidentiality.
