Duties
- Manage office calendars, scheduling appointments and meetings to optimize time management.
- Oversee clerical tasks such as filing, data entry, and document preparation to maintain organized records.
- Coordinate human resources functions including onboarding new employees and maintaining personnel files.
- Assist in budgeting processes by tracking expenses and preparing financial reports using QuickBooks.
- Plan and execute office events, ensuring all details are managed effectively for successful outcomes.
- Supervise administrative staff, providing guidance and support to enhance team productivity.
- Implement office policies and procedures to improve operational efficiency.

Key Responsibilities:
- Office & Administrative Management: Oversee day-to-day operations of the clinic, ensuring efficient workflows and timely communication with clients.
- Team Coordination: Manage and support veterinary technicians and other staff, including scheduling, task delegation, and ensuring a positive work environment.
- IT Support: Manage and troubleshoot office software, equipment, and systems to ensure smooth clinic operations.
- Accounts & Financial Management: Handle patient billing, insurance claims, accounts receivable, and maintain accurate financial records.
- Scheduling & Client Communication: Coordinate appointments, manage client communications, and ensure the efficient scheduling of veterinary procedures and visits.
- Miscellaneous Duties: Provide support as needed for other office-related tasks, from inventory management to assisting with clinic events.
Qualifications:
- Previous experience in office management, ideally in a medical or veterinary setting.
- Strong understanding of IT systems, including office software and troubleshooting.
- Experience managing accounts, billing, and financial records.
- Excellent organizational and multitasking skills.
- Strong communication and interpersonal skills to effectively work with staff, clients, and vendors.
- Passion for working in a veterinary setting and a genuine interest in equine health is a plus!
