Job Summary:
We're seeking a personable, detail-oriented multitasker to be the welcoming face of our front office. This part-time role (approximately 20-30 hours per week) is essential to our daily operations, requiring management of incoming calls, greeting visitors with professionalism and warmth, and providing exceptional customer service. Additionally, the role involves providing critical administrative support across multiple areas of the company, with a primary focus on our Accounting Department and Rental Department.
Typical duties include, but are not limited to:
- Oversee front desk operations, including greeting visitors and managing incoming calls.
- Process invoices, receipts, and payments in an accurate and timely manner.
- Receive, sort, and distribute the mail.
- Invoice customers, ensuring accuracy and timely processing.
- Perform general office duties such as filing, data entry, and handling correspondence.
- Maintain and reconcile petty cash.
- Renew the registration of company vehicles with the DMV.
- Coordinate office supplies inventory and place orders as necessary.
- Light cleaning duties as needed.
- Perform other related duties as assigned.
Qualifications:
- High school diploma or equivalent; an associate degree or higher is preferred.
- Minimum of 2 years of experience in general accounting and in administrative support.
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Strong organizational and time-management skills with keen attention to detail.
- Excellent verbal and written communication skills.
- Ability to handle multiple tasks and prioritize effectively in a fast-paced environment.
- Ability to work independently and as part of a team.
- Positive attitude and a commitment to providing exceptional service.
