STATEMENT OF DUTIES
Summary of Job Classification:
The SCAO Assistant serves as the onsite front desk assistant for the State Court Administrator Office (SCAO) at 1300 Broadway, Denver, CO. This position also assists with administrative and clerical work.
ESSENTIAL FUNCTIONS

- Provides reception duties by greeting visitors, answering phones, and providing necessary information for guests and SCAO staff.
- Schedules meeting and conference rooms for SCAO personnel.
- Registers guests with property management systems for entry into the SCAO suite.
- Responsible for all aspects of the SCAO suite hoteling software and assists SCAO employees with registration and troubleshooting.
- Provides signage for office, cubicle and daily conference room schedules.
- Leads the coordination of evacuation and safety procedures for the SCAO suite.
- Responsible for administration of state fleet vehicle reservations and check in/out processes.
- Accepts, sorts, and distributes incoming mail and packages. Processes outgoing mail and packages for transmission/shipment in coordination with service providers and customers.
- Provides clerical support which may include making copies, ordering food, scheduling meetings, and ordering/inventorying supplies for divisions and common areas.
- Assists divisions with general clerical or administrative support as requested including travel requests and project support.
- Performs preventive maintenance on office equipment and coordinates arrangements for necessary servicing of equipment including copiers, fax machines, phone system and related equipment. Also coordinates arrangements for repairing building maintenance issues through property management systems.
- Maintains a manual for reception coverage staff including step-by-step instructions and current directory of extensions.
- Attends meetings and completes training as required.
- Performs other duties as assigned.

MINIMUM QUALIFICATIONS
Education and Experience Equivalency:
High School Diploma or G.E.D. Equivalency
Work Related Experience:
One (1) year of general clerical work-related experience in an office setting.
Strong customer service
Strong organizational skills
Licenses and Certifications:
None.
Preferred Qualifications:
Experience working as a receptionist in a professional office setting. Experience in reservation systems, Microsoft Outlook, and other office computer systems preferred.
Physical Effort Requirements:
Exerting up to 10 pounds of force occasionally, a negligible amount of force frequently, and/or up to 20 pounds of force constantly having to move objects.
Work Environment/Locations:
Relatively free from unpleasant environmental conditions or hazards. Office environment.
Exposures:
Individuals who are hostile or irate.
