Professional Staff Assistant to CEC

ABOUT THIS POSITION

Summary: Reporting to the Director of the Community Education Center (CEC), the Professional Staff Assistant to CEC performs administrative duties and coordinate the daily operation of the CEC non-credit lifelong learning department, an auxiliary enterprise within CMU Tech. The CEC department is responsible for all not for college credit programming to include adult lifelong learning classes, youth programming for middle and high school students, customized business programs, room rentals, and mobile learning labs. General office duties include, but are not limited to, planning and scheduling lifelong learning classes, working with instructors to develop the lifelong learning catalog each semester, prepare classrooms, answering phones, completing class registration forms, updating spreadsheets and creating reports. Qualified candidates must have a bachelor's degree from an accredited institution of higher education.

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other related duties may be assigned

  • Registering students for classes and ensure all payments are properly recorded and transmitted
  • Track student enrollment
  • Communicate with the public on behalf of the CEC
  • Prepare for upcoming classes, communicate with students/instructors, collect necessary materials
  • Draft instructors pay contracts
  • Work with current and future instructors in creating new class descriptions, implement dates and time of classes
  • Organize data for upcoming semester course catalogs
  • Find new instructors to teach with the CEC to offer a diverse range of classes
  • Manage classroom scheduling via 25Live, booking and cancelling reservations based on class needs
  • Coordinate room rentals, draft invoices, collect payment, and reserve rooms
  • Set up rooms according to the needs of the class/rental. This includes moving chairs and tables and ensuring all A/V or other requested equipment is ready for use
  • Run daily/weekly reports
  • Manage and update online storefront
  • Issue and track refunds/credits

    Minimum Qualification Required:
  • Bachelor's degree from an accredited institution of higher learning.
  • At least one year experience in a busy office setting working with the public
  • High level of proficiency with Microsoft Word, Outlook and Excel
  • Strong customer service and interpersonal skills, detail-oriented
  • Ability to maintain confidentiality and to work both within a team and individually
  • Effective oral and written communication skills
  • Excellent organization and proofreading skills

  • Preferred Qualifications:
  • Sales and/or Marketing experience
  • Previous event planning/coordination experience
  • Teaching or curriculum development experience
  • Access and database programming experience
