JOB SUMMARY
This position works under the direct supervision of the Commercial Manager of the Realty Department. The Lease Admin is primarily an entry level position with duties and responsibilities associated with the leasing of Tribal lands. The Lease Admin will gain knowledge, training and experience to support and help further advance the department in lease services to the Tribal community. Additionally, the Lease Admin will be coordinating with other Tribal Departments, government agencies and stakeholders to ensure the lease practices are compliant and beneficial to the Tribes and community.
DUTIES AND RESPONSIBILITES
- All clerical and administrative duties including organization of department files, memos, reports and resolutions
- Produce and distribute correspondence, memos, letters, faxes and forms
- Responsible for developing and maintaining contact lists and filing systems
- Become familiar with agricultural leasing as well as all types of land ownership Tribal, allotted and assigned
- Become familiar with preparing lease proposals for presentation to and review by the RDC including drafting resolutions, documenting legal description and ownership, requesting maps and compliance reports as needed
- May be required to assist individual landowners of notifications, lease offers and responding to inquiries
- Become familiar with land assignment information and lease negotiation process
- Familiar with lease preparation, billing and file maintenance
- Monitor rental payment and follow-up of landowner inquires with appropriate agencies
- Become familiar with the landowner fractionated interests and the process of tallying consents, posting probates, sales and/or gift deeds
- Gain knowledge through work experience and training to respond to inquiries from individual landowners, Tribal Officials, Bureau of Indian Affairs, Bureau of Trust Funds Administration, Arizona Department of Economic Security as well as other Tribal Departments
- Administrative work related to requesting verification of income for individual landowners as requested
- Resourceful, efficient and organized in carrying out duties
- Other duties as assigned
KNOWLEDGE, SKILLS AND ABILITIES
- Knowledge and Ability to learn lease processes and execute required documents for all associated requirements
- Knowledge of fractionated interest and legal descriptions as pertains to agricultural leases
- Ability and skill to communicate effectively verbally and in writing
