SUMMARY
Under direct supervision of the Chief Probation Officer, the Probation Clerk assist Probation Officers in providing adult and juvenile correctional casework services and will perform a variety of complex clerical tasks involved in processing, maintaining, and securing records of all court proceedings for criminal and juvenile Probation and Pretrial cases. Provides information and assistance to law enforcement officers, attorneys, defendants, and Probation patrons. Provides general clerical assistance to the Community Court, Judges, Probation Officers, and administrative staff. Probation Clerk will perform related work as required or assigned.
GENERAL DUTIES
Enters investigates circumstances of offenses and social history/backgrounds of an adult and juvenile offender in case management system.
Assist in preparing various reports for submittal to the court concerning the disposition of the case.
Enter intake information, and services into case management system for all adult and juveniles.
Maintain accurate records and files of each probation reports,
Records and processes compliant reports received for various agencies, enters information into the case management system.
Operates a computer terminal to enter, update, correct, and access case information; and to produce computer generated forms.
Documents all case activity and other pertinent case information on court documents and in the case management system; maintains case histories on each case.
Provides information to attorneys, law enforcement officers, defendants, court patrons and agencies about court policies and procedures, case status, scheduling of court proceedings and civil proceedings in general.
REQUIRED SKILLS, ABILITIES, AND KNOWLEDGE:
Working familiarity with the operation and applications of computers and data programs.
Ability to plan, organize and calendar administrative and court cases, activities, staffing, etc.
Ability to effectively communicate both orally and in written form.
Possesses an understanding of legal terminology and knowledge of courtroom procedures.
The ability to maintain a professional attitude and be of good character, dependable, punctual and able to work under conditions of stress and maintain deadlines; skilled in interpersonal relationships.
Computer literate and knowledge of Microsoft Word and Excel.
MINIMUM QUALIFICATIONS
A High School Diploma or GED equivalent; and at least three (3) years' experience in a related field. Must have a valid Arizona's Driver License and be insurable under the Colorado River Indian Tribes Vehicle Policy.
