JOB TITLE: Office Site Manager
COMPENSATION: $60-70k annual salary
SCHEDULE: Full time 8AM to 5PM, Monday-Friday

We are looking to hire an Office Site Manager at our Longmont location. We are a comprehensive sleep center with locations throughout the front range & Frisco. As the Office Site Manager you will be responsible for overseeing the day-to-day management of the facility staff and building operations by coordinating with leadership and administrative staff to ensure compliance with healthcare regulations, and to improve the overall efficiency and quality of patient care & facility operations.

As the Office Site Manager you will...
  • Oversee office operations to ensure standardized procedures are being followed, Colorado Sleep Institute standards of appearance are being maintained, and any infrastructure issues are being reported to operations.
  • Oversees performance of Office Staff through weekly & monthly productivity and quality audits. Coaches for improvement as needed. Conducts comprehensive annual performance reviews for Office Staff.
  • Observes Office Staff to ensure quality of patient care. Promotes high levels of customer service and patient satisfaction. Receives patient satisfaction survey data and discusses results with patients as requested. Implements process improvements as necessary, based on feedback received in collaboration with other members of the administration.
  • Oversees the workload distribution between Office Staff. Arranges for coverage as needed for planned PTO or staff call-outs. Determines when additional staffing is needed to meet practice demands.
  • Documents workflow protocols, standard operating procedures, and training resources for CSI departments as directed by administration.
  • Communicates changes and updates to procedures, policies, and protocols with the Office Staff as directed and provides feedback on workflows to improve efficiency and effectiveness of the practice.
  • Implements operational strategies, system and site policies and procedures, and product and equipment standardization to realize compliance and operational efficiencies.
  • Serves as the facilities coordination point and subject matter expert for all facilities management activities within the assigned facilities
  • Responsible for Human Resources functions as requested by company executives and administrators, up to and including participating in pre-employment interviews, new employee registration and hiring processes, implementing yearly employee engagement questionnaires, educating employees on benefits packages, completion of performance documentation, completion of employee time cards, and participation in disciplinary action as needed.
  • Helps HR develop, implement and promotes staff development, recognition, and morale-boosting programs to encourage employee satisfaction, growth, and engagement.
  • Acts as an advocate for the Office Staff by communicating their needs or concerns to leadership.
  • Serves as the facility representative at local meetings and functions, representing facilities operations and discussing relevant objectives and plans.
  • Assists Office Staff with high-level patient cases and resolves patient complaints, as required.
  • Coordinates with operations and Sleep Lab Manager to ensure success with the Colorado Sleep Institute Diagnostic Testing Program (Home Sleep Apnea Testing, Nocturnal Oximetry, Actigraphy).
  • Travels between office locations as needed to manage Office Staff and processes.
  • Maintains strict company confidentiality and oversees implementation of HIPAA across locations and departments.
  • Other duties may be assigned or required as the needs of the practice dictate.

To perform this job successfully, you will need:
  • High School diploma required; or one to two years related experience and/or training; or equivalent combination of education and experience.
  • Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals.
  • Ability to write routine reports and correspondence.
  • Ability to speak effectively before groups of customers or employees of organization.
  • Ability to multitask.

We provide the medical expertise for patients to be diagnosed & treated under one roof, from evaluation to testing and treatment. Our board-certified doctors and PAs evaluate patients, handing them off to our team of stellar sleep technologists for testing, followed by treatment by a consortium of doctors, PAs, PAP technologists, cognitive-behavioral therapists, and sleep dentists.
One of the many things that sets CSI apart from other sleep organizations in addition to the breadth of treatment options is a streamlined in-house approach. In addition to our team of clinical providers, we have a comprehensive durable medical equipment department or DME which coordinates PAP therapy appointments for patients and timely orders of the PAP machines and supplies. Working in conjunction with our DME team are our Patient Care Coordinators, Billing Coordinators, and friendly Front-Office staff.
