Description of Work Unit
The College of Health and Human Sciences is comprised of eight academic units that provide transformative academic, research, and outreach programs designed to enhance the health and well-being of people, their environments, and communities in which they live. The College is one of the largest at Colorado State University with over 6,000 faculty, staff, students, and affiliates. The college’s annual research expenditures are over $16 million, with a diverse portfolio of sponsors (NIH being the largest sponsor of research in the college). With such a large and diverse group of constituents, there are significant demands for research support at the college level. The College’s Research Support Services Group is comprised of two Research Support Services Coordinator positions. These professionals each report to the college’s Associate Dean for Research and Graduate Studies. The college pre-award team works in close collaboration, assisting each other and working closely together in pursuit of the college research mission. The pre-award team is also expected to act as generalists, assisting with other projects and initiatives within the Research Support Services Group, the Dean’s Office, or the College at large as needed.

Position Summary
The Research Support Services Coordinator within the College of Health and Human Sciences (CHHS) is a 12-month, full-time Administrative Professional position. The CHHS Research Support Services Coordinator reports directly to the CHHS Associate Dean for Research and Graduate Studies. Working as a member of the College’s Research Support Services Group, the Research Support Services Coordinator will be responsible for providing leadership for College pre-award sponsored research activities and the ongoing oversight of the research proposal submission process. In addition, the Research Support Services Coordinator is expected to execute data analysis and reporting, to inform College-level decision-making and problem-solving for research issues. The successful applicant will have a strong work ethic, be able to work independently as well as within a larger team, be willing to serve in a broad variety of roles as needed and be dedicated to the mission of the college. Mixed in-person and remote work arrangements will be considered.

Required Job Qualifications
  • Bachelor’s degree in business, public or research administration, behavioral or health sciences, or related field aligned with the CHHS research mission.
  • Experience in Research Administration in higher education
  • Excellent oral and written communication skills
  • Ability to work collaboratively with faculty and staff
  • Strong analytical skills
  • Ability to work collaboratively in the face of calendar deadlines

Preferred Job Qualifications
  • Master’s degree in business, public or research administration, or related field
  • Demonstrated knowledge of OMB Uniform Guidance cost accounting guidelines
  • Experience with federal grant applications (in particular NIH, NSF, USDA)
  • Experience with federal application platforms, such as Grants.gov, Research.gov, ASSIST, and others.
  • Experience with higher education proposal/budget development systems, such as Kuali Research
  • Thorough knowledge of MS Office suite
  • Familiarity with general business operations in higher education (i.e., accounting, accounts payable and receivable, admissions, budget process, Facilities, HR, Institutional Research, OEO, Procurement, Registrar, research administration, Sponsored Programs)
  • Certified Research Administrator (must be active/current)

Proposal Pre-award Support

Duty/Responsibility
  • Organize workflow to meet multiple proposal deadlines.
  • Work with PIs to identify, prepare, and submit grant applications to federal and private sources
  • Develop budget, budget narrative and the other application materials relying on following knowledge:
    • Accounting standards/Federal Uniform Guidance
    • CSU business and financial guidelines
    • Knowledge of principal investigator’s research topic/proposal
    • Specific sponsor rules and guidelines
  • Work with PI to identify sub-awardees, and ensure proper documentation of the sub-award in CSU system / budget, etc.
  • Complete CSU process for grant submission:
    • Establish and complete record in Kuali for each grant submission. This includes dates, sponsor information, deadlines and grant guidelines
    • Develop budget in Kuali based on PI input
    • Follow OSP guidelines for internal submissions
    • Work with OSP to revise, route and monitor for approval
    • Oversee the completion of grant application forms as required and monitor for guideline compliance
    • When applicable, guide work-study employees as they assist with forms and data input
    • Review and check proposal for compliance
  • Work with department business officers to transition funded projects to post award status
  • Prepare application for submission in various sponsor systems/portals, including but not limited to ASSIST, Grants.gov, Research.gov, proposal central, etc.

Duty/Responsibility
  • Interpret OMB Uniform Guidance and cost accounting guidelines to ensure proper budget development and allowable expenditures on sponsored funds
  • Follow the sponsor guidelines with regards to application deadlines, indirect costs, required documentation, and other requirements as spelled out in RFA, and sponsor portals
  • Make recommendations to PI’s and department personnel on proposal budgets and budget justifications, cost share requirements, etc.
  • Make recommendations to PI’s regarding required cost sharing sources
  • Lead negotiation of indirect splits between units and colleges using current tools and protocol and circulate form for signatures using current CSU process
  • Act as liaison between CHHS and the Office of Sponsored Programs/VPR office as well as Foundation Relations
  • Ensure a smooth transition of the awarded projects to the post award by assisting the PI with any changes to the budget, set up of sub-awards, cost share substantiation, and other related aspects of the transition.

  • Brainstorm and discuss with faculty to learn about their research agendas to guide them to pertinent funding opportunities
  • Monitor and search for grant funding opportunities for CHHS. Provide that information to appropriate units and PIs in a timely manner.
  • Serve as a liaison with the Foundations Relations Office and CHHS Advancement

  • Exercise professional knowledge to respond to ad hoc data requests from a variety of sources within the College to inform strategic decision-making. The queries developed to inform high-level decisions involve Kuali Research, PASS and RPS (proposal records, awards made, PI’s, sponsors, account assignments, cost share, F&A split)
  • Provide support to awarded projects for multi-year budgeting allocations, sub-award requests, cost-share approvals, indirect cost waivers, and other requirements.
  • Support incoming faculty with transfers of funded projects.
