Job Description:
Human Resources Administration
- Supports the Human Resources Department, handles highly confidential data, and maintains all personnel files and records.
- Interacts with all levels of Bank and Subsidiary employees as well as Retirees and applicants, and assists with general questions pertaining to job application, benefits, payroll, loan policy, discounts and rates, and other inquiries.
- Prepares Funeral Memos, distributes communication to appropriate Bank personnel, requests and mails donation payments to organizations, and maintains related documentation.
- Greets visitors and applicants, receives phone calls, and directs inquiries to the appropriate personnel.
- Schedules department meetings, candidate interviews, and exit interviews as needed.
- Opens, stamps, and distributes mail to appropriate personnel.
- Maintains and orders supplies for department.
- Maintains personnel files by imaging all documents for the Human Resources Department.
- Coordinates Day 1 onboarding process with new hires including ADP onboarding, Electronic Fingerprinting, document collection, and employee identification photos.
- Reviews onboarding forms for completion, completes Employer Section of I-9 form for Employment Eligibility Verification, and distributes onboarding paperwork to appropriate personnel within department.
- Prepares New Hire Memos and distributes to appropriate Bank personnel.
- Coordinates monthly Time with Tom events including scheduling, sending invitations, setting up lunch, and communicating with all parties involved.
- Assists in the administration of the Buddy Program including maintaining contact with participants and coordination of surveys.
- Provides support in the creation and distribution of Company-wide surveys and communications including newsletters and engagement surveys.
- Supports special projects and coordinates department-sponsored events including the Awards Dinners, Annual Picnic, Bring Your Child to Work Day, and Holiday Parties.
- Maintains policies as updated and required and tracks Policy Acknowledgement statuses of new hires and existing employees.
- Updates employee records in the HRIS and Nautilus User Profile Workflow with name and address changes, transfers, job changes, and Leaves of Absences.
- Audits Personnel Changes Report following payroll to ensure accuracy of new hire reporting and personnel changes.
- Supports various internal and external audits by collecting personnel data.
- Assists EVP, Chief Human Resources Officer with completion of various Census Survey requests such as: R&D, Annual Business Survey, Report of Organization, etc.
- Distributes Workplace Bulletin Posters as updated and tracks for completion in all Bank locations.
- Administers NMLS registrations, activations, modifications, and terminations. Supports quarterly audits.
- Terminates profiles in ADP for exiting employees and notifies Information Systems of upcoming terminations through Nautilus workflow.
- Prepares Termination Memos and distributes to appropriate Bank personnel.
- Maintains inventory and stocks Corporate HQ Pantry.
- Provides administrative support to the Learning & Development Department as needed.
- Back-up support to Human Resources Department.
- Performs other job-related duties as may be assigned.
- Bachelor’s in Business Administration, Human Resources, Organizational Psychology or related field preferred;
- Administration or back-office experience;
- Basic knowledge of rules and regulation governing HR;
- Ability to represent HR with high level of professionalism, responsiveness, and emphasis on high customer service to employees, candidates and partners;
- Ability to deal with sensitive and confidential information;
- Highly organized and capable of shifting priorities;
- Excellent organizational and communication skills and attention to detail;
- Strong proficiency in Microsoft Word, Excel and PowerPoint;
- Strong people and time management skills.
