Program Coordinator - Workforce Education Center (2 Positions)

Columbia Basin College is seeking a Program Coordinator to perform work specific to the Workforce Education Center (WEC) supporting workforce programs (Worker Retraining, Basic Food, Employment and Training, WorkFirst, Opportunity Grant, and Early Achievers Grant) and student support programs (Student Emergency Assistance Grant, Supporting Students Experiencing Homelessness, Free & Reduced-Price Meal, Travel Reimbursement, and Childcare Reimbursement). The Program Coordinator will support programs with front-end customer service, application processing, documentation, award processing, textbook lending, and purchasing/budgeting support.  This position reports to the Director for Workforce Education Center.

  • Provide front-end phone and reception customer service including: fielding questions, explaining documentation, setting appointments, facilitating appointments for other staff, and working with other staff to assure customer reception is functioning during all hours of operation;
  • Process applications for WEC programs including: review for completeness, follow-up for more information, verify eligibility details, data entry, routing to Training Specialists for review, make award recommendations to training specialists; determine awards following established guidelines, and follow-up communication to notify applicant of eligibility;
  • Generate, process, and review documentation including: communicating with students about needed documentation, creating forms necessary for BFET program participants, creation of award slips, updating database files, update tracking files, generate data for quarterly and annual reports, compile documents for audits and program reviews, converting paper documents to digital, and follow data security and confidentiality policies;
  • Process WEC program awards by tracking and logging data, preparing and routing award slips, submitting to Financial Aid, and reconciling post-disbursement records;
  • Manage the WEC lending library, including inventory oversight, textbook procurement, removal of outdated materials, coordination of lending and returns, budget management, consolidation of program lending lists, and recommending operational improvements;
  • Make purchases and support budgeting including: purchase-card expenditures, reconciliations, expense tracking for multiple programs, receipt management, requisition/purchase order creation, database updates, and internal budget reporting;
  • Give general program support including; providing work direction to student employees, coordinating with DSHS and ESD co-located staff, managing schedules and office supplies, recommending process improvements, participating in committees, and engaging in professional development; and
  • Perform other related duties as assigned.
  • High school diploma or equivalent; and
  • Two (2) years clerical and/or customer service experience.

  • Bilingual and biliterate in English and Spanish.

This position is a full-time classified staff position. This position is overtime eligible and the typical work hours are Monday through Thursday from 7:00 a.m. to 4:30 p.m. and Friday from 7:00 a.m. to 12:00 p.m., however, must be available to work a flexible schedule when prior notice is given by the College. These positions are available immediately.

PHYSICAL DEMANDS:

While performing the duties of this position, the employee is frequently required to sit, stand, bend, kneel, stoop, communicate, reach and manipulate objects. The position requires mobility including having the ability to move materials on a regular basis such as files, books, office equipment, etc. and travel between buildings on campus. Manual dexterity and coordination are required to operate equipment such as computer keyboard, calculator, and standard office equipment.

 

WORKING CONDITIONS:

Usual office working conditions. The noise level in the work area is typical of most office environments with telephones, personal interruptions, and background noises.


UNION CLAUSE:
This is a bargaining unit position represented by the Washington Public Employees Association (WPEA). Internal promotional, transfer and voluntary demotion applicants who have skills and abilities to perform the duties of the position will be considered prior to consideration of other applicants.

Salary : $41,724 - $55,584
