Columbia Financial Advisors provides business valuation, financial advisory services, and litigation support to clients throughout the country. We serve small, closely held companies as well as some of the largest privately held companies in the country and publicly traded firms.
An excellent opportunity exists for an Executive Assistant to become a member of our team.
You will serve our executive team effectively in this capacity and be a vital resource. Assisting our CEO and four Executive Directors, you will oversee calendars, plan meetings, take care of reservations, and offer administrative assistance when required.
Key Responsibilities :
To perform secretarial and administrative tasks, such as typing, proofreading, filing, drafting and editing communications and correspondence, making PowerPoint presentations, and so on, in order to support and help the CEO.
Coordinating catering, setting up meeting spaces, scheduling meetings, and taking minutes.
To serve as the Chief Executive's initial point of contact for messages and inquiries.
To oversee the CEO's calendar, scheduling meetings and reminding the CEO of crucial assignments and due dates.
To assist the Chairman and CEO in managing their email inboxes and correspondence.
arranging business lunches; communicating with the relevant group regarding menus, place cards, table layouts, and combining food orders with dietary restrictions.
To plan visitor itineraries and provide hospitality in accordance with the CEO's instructions.
Typing, compiling and preparing reports / presentations, and correspondence.
Managing filing systems, collating and filing expenses and invoices.
Support the Senior Management Team in various administrative tasks as required.
Experience :
Extensive background supporting senior leadership as an executive assistant, personal assistant, or in a similar capacity.
Outstanding time-management and organizational abilities, including the capacity to successfully prioritize conflicting tasks.
Excellent problem-solving abilities, flexibility, and self-reliance.
Outstanding written and verbal communication abilities that guarantee professionalism in every exchange.
High standards of integrity and discretion when managing private data.
Proficiency with Word, Excel, PowerPoint, Outlook, and other pertinent administrative software.
The capacity to work in a fast-paced setting and effectively balance several priorities.
Financial services experience is helpful but not necessary.
