The Executive Assistant will provide high-level, confidential administrative support to the President/CEO. This individual will be a critical extension of the CEO"s office, ensuring operational efficiency, managing sensitive communications, and representing the executive office with professionalism and discretion.
Essential Duties And Responsibilities

Essential Duties And Responsibilities
- Manage complex calendars, schedules, and travel arrangements (domestic and international).
- Act as a liaison between the CEO and internal/external stakeholders, including clients, board members, and senior leadership.
- Prepare executive-level reports, presentations, and correspondence.
- Coordinate and support executive meetings, including agenda creation, minute-taking, and follow-up task tracking.
- Screen and prioritize communications, emails, and phone calls; respond on behalf of the CEO as appropriate.
- Handle confidential information with integrity and discretion.
- Assist in the preparation and review of contracts, proposals, and other documents related to aviation operations.
- Coordinate logistics for ELT visits, off-site meetings, and company events.
- Perform project management tasks and conduct research to support strategic initiatives.
- Provide occasional personal assistance tasks to support the CEO"s efficiency.
- 5 years of experience supporting C-level executives, preferably in aviation, aerospace, or another technical/industrial sector.
- Exceptional organizational and time management skills with the ability to multitask and prioritize effectively.
- Strong written and verbal communication skills.
- Proficiency in Microsoft Office Suite and other business tools (e.g., Teams, SharePoint, Concur, or similar platforms).
- High degree of professionalism and discretion in handling sensitive information.
- Ability to work independently and exercise sound judgment.
- Bachelor's degree preferred; equivalent experience considered.
- Familiarity with aviation terminology or experience in an aviation environment.
- Comfortable in a fast-paced, high-demand, and occasionally high-stress environment.
- A proactive, can-do attitude with a commitment to excellence.
