Position Summary
The Administrative Coordinator of FA will be reporting to the Chair of the Neurology Faculty Committee on appointments and promotions (COAP) and to the Associate Director of Human Resources & Faculty Affairs.
Responsibilities
- Responsible for gathering and preparing monthly agendas with the Chair of COAP.
- Represent the office at the monthly meetings of the Retention/Recruitment Committee (RRC), Committee of Appointments and Promotion (COAP), as well as processing minutes and the outcome of each meeting.
- Process and submit the tenure dossier and promotional packets of title changes to Faculty Affairs and provide status update to the Associate Director of HR & FA and the Chair of COAP.
- Post job ads in Interfolio, as well as outside job sites.
- Manage the Interfolio report.
- Work with the Associate Director of HR & FA to resolve issues and to ensure timely processing of new appointments, faculty promotions, and other COAP related transactions.
- Provide general administrative support to the Chair of the COAP Committee.
- Manage the calendar, including scheduling of calls and meetings via Zoom and/or in person.
- Booking travel and preparing expenses reports.
- Coordinating laboratory-related purchases.
- Perform other related duties and responsibilities as assigned/requested.
- Requires a bachelor’s degree or equivalent in education and experience.
- 0-2 years of experience.
- Experience with faculty promotions.
- Knowledge of PeopleSoft is a plus.
- Proficient in MS Word, Outlook, Excel, MS Teams, and Zoom.
- Possess excellent interpersonal skills, oral and written communication skills; ability to prioritize assignments and follow up
- Detail oriented and ability to handle multiple tasks at once and work with various offices.
- Excellent organizational skills, ability to work independently and in a team environment to execute complex tasks under demanding deadlines
- Ability to preserve confidential information.
