Position Overview
This is a non-exempt, administrative coordinator position, reporting directly to the Director of Operations for Billing & Administration. This role assists with filling in and coordinating staff coverage when administrative staff are absent, carrying out a staffing plan to maximize efficiency in customer service and clerical support. This role will also provide ongoing training for administrative & Intake staff as well as training new staff on the workflows, processes and policies of Columbia Wellness.
Summary of the Essential Duties and Responsibilities
- Provides training for new administrative hires and to increase skills as needed.
- Cover all positions in the administrative department in case of absences or vacant positions.
- Communicates departmental challenges to the Director of Operations for Billing & Administration.
- Assist with the development of procedures to improve efficiencies in daily processes.
- Effective use of technology and software including but not limited to computers, phones, email, EMR, etc.
- Be helpful, respectful, approachable and team oriented.
- Effective time management
- Must be punctual in person and with work tasks assigned.
- Build strong working relationships and a positive work environment.
- Be receptive to feedback, willing to learn, and embrace continuous improvement.
- Attend all appropriate staff, organizational, and external meetings (as assigned).

- The ability to be flexible and manage urgent and crisis situations effectively.
- Ability to motivate staff and develop a working team around individual cases.
- Other duties as assigned.
Minimum Qualifications:
- AA degree or equivalent, is desired.
- Five (5) years’ experience in a reception/clerical position, with 2 years of that required in a medical setting.
- Experience working with Electronic Health Record Systems (EHR)Credible preferred
- Extensive knowledge of computers and office equipment is a must.
- Ability to respond and tolerate difficult people and crisis situations.
- Ability to display exceptional customer service, writing, computer, and analytical skills.
- Ability to learn all aspects of the job duties of each team member and cover accordingly.
- Ability to organize, and prioritize, multiple tasks.
- Punctual
- Ability to pass a background check
- Valid driver's license with clean driving abstract
- Ability to cover multiple locations within Cowlitz County
- Excellent communication skills
Preferred Qualifications:
- Supervisory experience is required.
- Previous experience in a mental health and/or substance abuse field preferred
Salary: Starting at $19.71/hr.
