Clerical Back-up
Variable schedule, 32 hrs. per wk. normally, up to 39 on occasion. M-F, per site location. Eligibility for comprehensive insurance benefits, generous paid leave and retirement plan with employer match. Provide clerical back-up coverage at main or all satellite office locations. Reception duties to include effectively utilizing the agency computer systems (including accurate data entry), other computer programs, telephone system and other office equipment in assigned job duties to provide the maximum amount of high-quality work. Schedule, cancel, reschedule and confirm appointments to maximize productivity and provide excellent customer service. Complete required change forms. Process re-determinations according to supervisory guidelines. Consistently maintain a professional, courteous and helpful manner in assisting clients and staff. Adhere to agency HIPAA requirements, regarding client confidentiality. Promote a positive image. Efficiently, and accurately generate, print and mark various required reports. Consistently verify accuracy and completeness of staff/client appointment information, admit book, recaps, and associated paperwork. Deal with crisis situations in a calm, professional manner, utilizing agency procedures and training. Switchboard duties to include handling incoming calls with pleasant demeanor. Confirmation calls. Efficient and accurate preparation of intake/reopen letters and processing of screening information. Copying duties, perform occasional records functions as requested. Ability to stand, reach, bend, and occasional lifting up to 30 lbs. on intermittent occasion. Regular attendance and flexibility and adherence to planned, and variable, schedule. Teamwork and work independently without close supervision. E.O.E.
Minimum Requirements:
High school diploma or GED, and two (2) years' related clerical experience required. Ability to effectively and expeditiously operate a computer and other standard office equipment required, with knowledge of Microsoft Office (Word) preferred. Deal effectively with the public and agency staff, work independently and deal calmly with crisis situations. Professional and pleasant demeanor and strong customer service orientation. Work as a member of various teams. Multi-line telephone training and knowledge of behavioral health system preferred. Ability to stand, reach, bend, lift up to 30 lbs. without assistance. Requires flexibility and the ability to work a variable schedule at the main or satellite locations. Subject to criminal background, drug screen, BMV, and credit check clearances.
