What are the responsibilities and job description for the Home Healthcare; Scheduling Coordinator position at Columbine Caregivers?
We are currently looking for an outstanding Scheduling Supervisor to join our team. The Scheduling Supervisor role is a challenging but rewarding position. The Scheduling Supervisor’s primary responsibilities include: Creating new-client schedules with appropriate staff, ensuring client’s schedules are covered in the event of staff call-offs, managing schedules to ensure regularity for clients and staff, as well as providing exemplary customer service at all times.
Scheduling is managed though a software based system, however changes must be communicated effectively at all times to ensure both clients and caregivers know their schedule. The ideal candidate is someone with great communication skills, ability to multi-task well and function in a fast-paced environment, often times under time constraints.
All supervisors participate in an on-call rotation. Must be comfortable with after hours and weekend on-call duties. Most of the on-call duties are carried out over the phone, however as a last resort, occasionally supervisors do cover shifts, to ensure clients have coverage for every shift.
Must be well organized and have good time management skills. Must also be able to remain calm and professional under pressure and in situations where multiple time sensitive matters arise concurrently. Must be a good problem solver and able to work through various scheduling changes and needs without becoming overwhelmed easily.
The ideal candidate will have:
-Experience working in an office environment
-Experience in a supervisory role (Preferred, not required)
-Experience in scheduling (Preferred, not required)
-Experience in home care, or other healthcare experience (Preferred, not required)
-A current CNA license (Preferred, not required)
Candidates will be required to pass an extensive criminal background check as well as drug testing prior to employment. We provide a company laptop. We do not currently offer full health benefits; however, we do provide Appleton Clinics membership for all office-based roles.
Responsibilities
- Responding promptly to client and caregiver scheduling needs
- Ensuring coverage for shifts when staff call out
- Building complex schedules with many variables in place
- Assure schedules are managed to ensure regularity for clients and staff
- Client intakes and meetings
- Office administrative, filing and inventory management
- Attend meetings, provide updates and reports as needed
- Write and distribute email, correspondence memos, letters, faxes and forms
- Provide general support for and assistance for other office team members
- Provide outstanding customer relations via phone and in person
- Conduct interviews
- Assist with orientations
- Take client shifts when needed
- Assist in maintaining office cleanliness
- Other duties as assigned

**Office hours are Monday-Friday 8:30a - 4p. As a supervisor, it is expected that we have all time sensitive matters handled before leaving at the end of the day. Often, staying past 4:00p is necessary if we are starting a new client's schedule or have call-offs that we are working through.
**Provide on-call scheduling support for evenings and weekends on a rotation with other office supervisors. Again, it is expected that supervisors help with covering shifts occasionally, in events that a back up caregiver cannot be coordinated in the time allotted.
Job Types: Full-time, Part-time
Pay: $18.00 - $20.00 per hour
