This position performs administrative duties for the Deputy Director of Infrastructure, Public Works Department.

  • Researches and prepares reports; develops and implements assigned programs.
  • Resolves administrative problems related to the efficient operation of the office, such as policy interpretations, telephone, computer, and equipment malfunction.
  • Attends and participates in meetings; takes and transcribes notes; completes required forms and paperwork.
  • Writes detailed or technical reports of all findings, and conclusions, and compiles the information into summary reports.
  • Composes correspondence; formats and types letters, reports, charts, and other documents.
  • Prepares narrative and statistical reports to track and document activities and to provide justification for department actions and requests.
  • Maintains department supply inventory; requisitions supplies as needed.
  • Maintains departmental files.Coordinates/maintains the Deputy Director's Calendar and special meetings; responsible for registering the director for upcoming conferences, and booking flights, and hotel accommodations.
  • Supports the City's Safety Program with administrative duties such as driver training and the accident/injury review committee.
  • Answers questions and responds to citizen’s complaints.
  • Enters service requests in QAlert.Back up the HR Coordinator, enter payroll, and process biweekly department payrolls, which consist of mileage, sick, and vacation data.
  • Performs other related duties as assigned.


 
  • Knowledgeof basic mathematical and statistical computations including addition,subtraction, multiplication, division, percentages, and ratios.
  • Knowledgeof Generally Accepted Accounting Principles.
  • Skill in research, statistical analysis, and reportpreparation.
  • Skill in Microsoft Office Suite.
  • Ability towork independently and with minimal supervision.
  • Skill in analyzing and resolving officeadministrative situations and problems.
  • Skill in problem-solving and decision-making.
  • Skill inoral and written communication.Knowledgeof the principles and practices of modern office administration.
  • Proficient in Microsoft Word, Neogov, Outlook, Excel, and various payrollsystems.
 Knowledge and levelof competency are commonly associated with the completion of specialized training in the occupational field, inaddition to basic skills typically associated with high school education.Sufficient experience to understand the basic principles relevant to the major duties of the position usually associated with the completion ofan apprenticeship/internship or having had a similar position for three(3) years.  

The work is typically performed while sitting at a desk or table while intermittently standing, walking, or stooping and distinguishes between shades of color.  The employee frequently lifts light and occasionally heavy objects.  Additionally, the following physical abilities are required:

  • Feeling – perceiving attributes of objects by touch with skin, fingertips.
  • Grasping – applying pressure to object with fingers, palm.
  • Handling – picking, holding, or working with whole hand.
  • Hearing 1 – perceiving sounds at normal speaking levels, receive information.
  • Hearing 2 – receive detailed information, make discrimination in sound.
  • Kneeling – bending legs at knee to come to rest at knees.
  • Lifting – raising objects from lower to higher position, moving objects side to side, using upper extremities, back.
  • Manual Dexterity – picking, pinching, typing, working with fingers rather than hand.
  • Mental Acuity – ability to make rational decisions through sound logic, deductive reasoning.
  • Pushing – use upper extremities to press against objects with force, or thrust forward, downward, outward.
  • Reaching – extending hands or arms in any direction.
  • Repetitive Motion – substantial movements of wrists, hands, fingers.
  • Speaking – expressing ideas with spoken word, convey detailed, important instructions accurately, concisely.
  • Standing – for sustained periods of time.
  • Stooping – bending body downward, forward at waist, with full motion of lower extremities and back.
  • Talking 1- expressing ideas by spoken word.
  • Talking 2 – shouting to be heard above ambient noise. 
  • Visual Acuity 1 - prepare, analyze data, transcribing, computer terminal, extensive reading. 
  • Visual Acuity 2 - color, depth perception, field of vision. 
  • Visual Acuity 3 - determine accuracy, neatness, observe facilities/structures. 
  • Visual Acuity 4 - operate motor vehicles/heavy equipment. 
  • Visual Acuity 5 -close acuity for inspection of small defects, machines, use measurement devices, or fabricate parts. 
  • Walking - on foot to accomplish tasks, long distances, or site to site. 
The work is typically performed in an office, library, or computer room.
