Responsibilities and Duties
- Responsible for the workorder process. This includes but is not limited to; opening and closing workorders, posting labor hours, posting mileage, writing clear and accurate descriptions of work performed.
- Ensures that parts, labor, core charges and other expenses are correct, properly charged to both the workorder and internal account.
- Review completed workorders to insure proper invoicing.
- Submit completed Warranty workorders to the corporate warranty manager that require minimal changes and adjustments prior to claim submittal with all supporting documents.
- Must be able to clearly communicate with technicians and management on missing information needed to perform workorder maintenance.
- Analyze work in progress (WIP) data sheet for aged workorders that needs finalized.
- Scan into Doc records all closed workorders.
- Works with Shop Forman, Field and PM coordinators on processing workorders to close.
- Perform various administrative assistant duties including, but not limited to: Scanning, faxing, filing, mail sorting and delivering, and other related duties
- Assisting with planning, setting up and cleaning up of meetings and events hosted at the Branch.
- Performs other duties as assigned by the Service Manager.
Qualifications
- 2-year College degree, Vocational school graduate or equivalent.
- Valid driver’s license and a safe driving record.
- Good Written and verbal communication skills, ability to demonstrate and state facts to all contact people.
- Understanding of PC hardware/Software (Windows, MS Word, MS Excel, MS Outlook, MS PowerPoint)
- Understanding of Manufacturers products (specifications, applications, operations, and structures).
- Understanding of Manufacturers Service Policy and Procedure Manuals
- Detail oriented, organized, and responsible.
Physical Requirements
- Must be able to adhere to prolonged periods of sitting at a desk and working on a computer
- Must be able to speak and write English, and hear to communicate
- Must be able to lift up to 15 pounds occasionally
- Must be able to use hands to operate office equipment
