Summary of Functional Responsibilities:
- Supervise all areas of HCCIA including programs, retail, marketing and budgeting.
- Implement, evaluate and improve HCCIA programs, tournaments and special events.
- Manage day-to-day operations.
- Supervise full-time, part-time, seasonal staff, and sports officials.
- Support in overall management and operation of HCCIA concession stand.
Specific Duties of the Position:
- Plan and prepare yearly business plans and goals for HCCIA, consulting with the Director of Sports Programs during the planning process.
- Work directly with Athletic Facilities Supervisor and Director of Sports Programs to plan and prepare yearly Capital Budget for HCCIA which includes equipment and projects.
- Work directly with Athletic Facilities Supervisor and Director of Sports Programs to plan and prepare budget for HCCIA (Non-Reverting).
- Works in Cooperation with Marketing to promote programs, tournaments and events.
- Works with user groups (CYH, LCSC, Broomball, and Speed skating) and outside organizations to bring in tournaments, test sessions, competitions and growth in the programs.
- Works in cooperation with Project and Resource Development Director to procure sponsorships for various sports programs, tournaments and events.
- Manage front office operation which includes scheduling and training of staff.
- Responsible for daily deposits and financial paperwork.
- Manage officials and supervisors for programs and tournaments.
- Implement, improve and evaluate procedures for programs and tournaments.
- Meet regularly with Director of Sports Programs and Athletic Facilities Supervisor on daily operations and schedules.
- Motivate, lead and evaluate the performance of employees.
- Recruit, select and train for all vacant positions (Full-time, Part-time, Seasonal, Coaches & Sports Officials).
- Manage overall budget (Non-Reverting).
- Monitor industry trends by participation in professional organizations, attending conferences and workshops, subscribing to relevant research articles. Explore creative options to stay up on those trends and report those ideas to the Director of Parks and Recreation.
- Inventory and order equipment/supplies needed for programs, tournaments and Pro Shop.
- Manage the daily operation of the HCCIA Pro Shop.
- Promote safety and quality in programs and tournaments.
- Ability to multi-task.
- Represent the Parks & Recreation Department in a courteous, professional and friendly manner.
- Perform all other duties as assigned.
Education and Experience:
- Bachelors Degree in Recreation, Sports Management, Event Planning or other closely related field preferred, but not required.
- Strong written and oral communication skills and the ability to interact with community organizations.
- First Aid/CPR/AED certification preferred or willing to obtain certification.
- Two years experience or Ice Arena programming related work preferred, but not required.
- Must have a good understanding of figure skating, hockey programs and the foundation for the success of all programs.
- Must have experience in the following areas: League and Tournament scheduling, budget development, general maintenance, staff supervision and training.
- General mathematical skills required.
- Ability to operate various types of equipment.
- Proficient computer skills: Word, Excel and Outlook and ability to learn how to use RecTrac (registration software).
- Valid Indiana driver’s license or ability to obtain one immediately and good driving record, sufficient to be covered by city insurance.
Judgment:
- Work is of a high degree of complexity and is performed under general supervision of the Director of Sports Programs.
- Independent judgment with supervisory help available.
Supervisory Responsibility:
- Supervises one full-time Customer Service Specialist.
- Oversee part-time and seasonal employees for concessions, skate guards, office staff, and multiple program supervisors.
- Oversee the supervision of sports officials and user group points of contact.
Relationships Responsibility:
- Must be able to work with customers (internal & external) and fellow employees to keep service at the highest standard possible.
- Motivate, lead and evaluate the performance of full-time, part-time, and seasonal positions.
- Develop a strong working relationship with other Parks and Recreation employees, user groups, volunteers and customers.
Working Conditions:
- Exposure to more than ordinary conditions.
- Will sometimes work evenings, weekends and mandatory overtime in order to effectively manage city’s HCCIA programs.
Must reside in Bartholomew County or adjoining county within six (6) months of employment
This position is subject to the City’s Drug and Alcohol-Free Workplace Program which includes: pre-employment
testing, post-accident testing, reasonable suspicion testing, return-to-duty testing and follow-up testing. Annual
BMV checks for all drivers.
