Job Description Summary
The Administrative Assistant, Delaware Campus & Regional Learning Centers (RLC’s) provides general administrative, clerical, project, and case management support for the Executive Administrator. This role uses advanced office and research skills depending upon position assignment and skill level demands. The Administrative Assistant is responsible for compiling reports, scheduling meetings, preparing agendas and meeting minutes, responding to routine and complex correspondence, creating presentations, preparing statistical documents, and completing administrative support projects for the Delaware Campus & RLC’s.
Job Description
Leadership Support
- Performs responsibilities directly related to the management and general business operations for the Delaware Campus & RLC’s. Speaks for the Delaware Campus Executive Administrator and leadership on routine matters and resolves and processes complaints and situations not requiring the personal attention of the Executive Administrator. Serves as the initial point of contact and screening for visitor access.
- Exercises sound judgment and discretion in dealing with matters on behalf of leadership, including scheduling, budget reporting, invoicing, ordering and contract creation. Serves as a resource for decision making in matters delegated by leadership. May represent the Executive Administrator at meetings or in communications in matters, as delegated.
Administrative
- Carries out major assignments in conducting the operations of the Delaware Campus & RLC’s. Manages capital equipment, acts in place of the Executive Administrator at the Delaware Campus, and performs other administrative responsibilities on behalf of the office that require the exercising of independent discretion pertaining to matters of significance.
- Originates and creates data fields, spreadsheet criteria, formulas, and report formats. Reviews and edits reports requiring the drawing of conclusions and original thought. Develops reporting and record criteria. Completes special projects as assigned. Determines and implements methods and research for completing projects in consideration of overall goal and project results.
- Manages the routing of forms and paperwork concerning academic, payroll, and contract processes. Maintains confidentiality of sensitive information.
Customer Service
- Maintains excellent working relations with the public, students, and internal contacts as a representative of the College and the Executive Administrator.
- Advises and influences stakeholders on various matters.
Culture of Respect
- Fosters and maintains a safe environment of respect and inclusion for faculty, staff, students, and members of the community.
Other duties as required.

OTHER DUTIES & RESPONSIBILITIES
- Attends all required meetings and trainings.
- Works outside of normal schedule as needed to meet workload demands and operational needs.
Additional Job Description
MINIMUM EDUCATION AND EXPERIENCE REQUIRED
- Associate’s Degree in a related field.
- Two (2) years of administrative support.
- State Motor Vehicle Operator's License or demonstrable ability to gain access to work site(s).
- *An appropriate combination of education, training, coursework and experience may qualify a candidate.
KNOWLEDGE, SKILLS, & ABILITIES
Knowledge of: standard office procedures and practices; office administration; business English word usage, spelling, sentence structure, and punctuation; business and legal formats; database software, including Microsoft Office applications (Work, Excel, Outlook, PowerPoint).
Skilled in: excellent verbal and written communication; organization; customer service; conflict resolution; general typing; application of job software including word processing and spreadsheets; proofreading standard business correspondence and other written documents; creating functional report formats; performing mathematical calculations including addition, subtraction, multiplication, decimals, percentages and fractions.
Ability to: develop and maintain effective working relationships with associates, vendors, students, telephone users and general public; maintain confidential and sensitive information; use good judgement; perform complex tasks and prioritize multiple projects; effectively communicate information in oral and written forms; participate in collaborative work; effectively work with persons of varying cultures and diversity; problem solve effectively; exhibit a pleasant public manner and telephone etiquette; originate correspondence; work independently.
PHYSICAL REQUIREMENTS

WORKING CONDITIONS
- Typical office environment. Regular exposure to moderate noise typical to business offices. May be required to travel to and work at multiple locations.
