Job Summary
This position will provide comprehensive administrative support, manage coach and student-athlete travel, and provide oversight of the monthly reconciliation of departmental purchasing card transactions. This position is essential to the smooth operations of the athletics department, ensuring efficiency in day-to-day operations and activities.
Responsibilities
Significant Duties & Responsibilities include: Administrative Support - Provide general administrative assistance to the athletics department, including greeting visitors, planning and scheduling meetings, preparing reports, maintaining departmental files, and handling correspondence for athletics staff and coaches. Serve as primary point of contact for coaches, staff, and student-athletes regarding administrative needs, travel logistics, and financial queries related to purchasing cards and expenses. Maintain organized records of travel arrangements, purchasing card transactions, receipts, and other related documents for compliance, auditing, and reporting purposes. Liaise with appropriate vendors to ensure timely and cost-effective services for travel and departmental purchases. Assist with additional office tasks as needed, including preparation of documents, tracking key departmental deadlines, and providing support for special events or initiatives organized by the athletics department.; Student and Departmental Travel - In collaboration with Shared Administrative Services (SAS), plan and coordinate all travel logistics for athletic teams, coaches, and student-athletes, including transportation (flights, buses), lodging, meals, and registration, while ensuring all travel arrangements are in adherence with University System of Georgia (USG), NCAA, and CSU guidelines, budget, and regulations. Coordinate and distribute travel itineraries to coaches, student-athletes, and staff ensuring clear communication of travel details and addressing any questions or concerns.; Budget Management Support - Assist with the tracking of departmental expenses related to travel, purchasing, and other activities. Work closely with the Business and Financial Operations Manager to ensure financial accuracy and compliance with budgetary guidelines. Provide oversight and perform monthly reconciliations of all department of athletics purchasing cards, ensuring all transactions are accurately recorded, receipts are collected, and expenses align with department budgets and policies.
Required Qualifications
Required Qualifications include: Associate's degree or equivalent combination of work experience is required.; At least two years of administrative support or comparable experience is also required.
Preferred Qualifications
Preferred Qualifications include: Bachelor's degree from an accredited institution.; Previous experience in higher education or a similar field.; Previous experience with financial record keeping and reconciliation processes, particularly in relation to financial systems.
Proposed Salary
The proposed annualized salary range for this position is $40,253 - $43,784 and includes full benefits.
