About the Role:
Seeking a proactive, highly organized, and resourceful Personal Assistant to support a dynamic marketing agency CEO who balances the fast-paced demands of running a small startup with an active personal life. This role involves taking charge of household management, office administration, personal tasks, and lifestyle coordination to create balance and efficiency. Additionally, you will provide light financial support, including budgeting, vendor payments, and bank-related tasks. The ideal candidate will be detail-oriented, resourceful, and able to anticipate needs before they arise.
Key Responsibilities:
Household Management:
- Handle laundry, dry cleaning, and daily cleaning tasks (e.g., tidying, dishes, light vacuuming).
- Coordinate with vendors such as house cleaners, gardeners, and spa services.
- Grocery shopping with a focus on healthy, energy-boosting, weight-loss-friendly meal prep.
- Schedule and manage dog walkers, groomers, and vet visits.
- Scooping poop and maintaining a clean and pet-friendly household.
- Dog Walking and Playing
- Ensure the house is stocked with essentials and well-organized for ease of use.
- Cut down household expenses by organizing/managing budget and needs.
Lifestyle & Personal Coordination:
- Schedule and manage personal appointments, such as doctors, dentists, hair, and personal/spa visits.
- Prepare meals or snacks in line with health and wellness goals.
- Help balance the CEO’s life by preparing a clear, organized daily schedule and reviewing the upcoming day the night before to ensure focus and calm.
- Act as a sounding board for plans, priorities, and personal goals.
- Coordinate social engagements, special events, and gift-giving for friends and family.
- Email management/Calendar coordination for Key Tasks and Replies.
Office Administration & Errands:
- Manage office-related tasks such as mail runs, post office visits, and handling returns.
- Order supplies and manage inventory for both personal and professional needs.
- Assist with light administrative tasks like expense tracking, research, and email management.
- Office Project Tasks: i.e. Christmas Presents for Clients, Retreat Planning
- Run errands as needed, from picking up dry cleaning to sourcing items for the office or home.
Travel Coordination:
- Research and book travel, including flights, hotels, and ground transportation.
- Create detailed travel itineraries and ensure all documents are prepared and accessible.
Financial Management:
- Assist with budgeting for both personal and professional needs, ensuring spending aligns with goals.
- Handle light financial tasks, such as paying vendors, making deposits, or purchasing on behalf of the CEO.
- Coordinate bank trips when needed to manage accounts, deposit checks, or handle other transactions.
- Keep records of expenses and provide updates on financial matters when requested.
Day Preparation & Ongoing Support:
- Prep the CEO for her day, ensuring she has everything she needs (e.g., documents, meals, outfits, schedules).
- Keep a “clear mind” focus by ensuring the day ahead is organized and stress-free.
- Balance work and personal priorities to support a fulfilling, productive lifestyle.

Requirements:

- Reliable transportation for errands and occasional travel availability.
- Basic financial literacy, with the ability to manage budgets, track expenses, and handle payments.
Hours & Flexibility:
- Reality of Startup Life: Hours vary depending on workload and priorities but will generally range around 15-20/hours per week. Occasional evenings or weekends may be required to meet deadlines or manage last-minute needs.
Compensation & Benefits:
- Competitive hourly rate based on experience: $15 - $18/hour DOE. Set Retainer/Month
