What are the responsibilities and job description for the Clerk I - Caldwell, Comal and Hays Counties CSCD position at Comal County Adult Probation?

GENERAL DESCRIPTION:
Under the immediate supervision of the Division Supervisor, requirements include performing work related to meeting the needs of the Programs Division staff; and the performance of a variety of complex tasks and services including but not limited to: administrative, clerical, secretarial, knowledge of community corrections data, and the exercise of independent judgment in the professional and discreet handling of participants of Programs offered by the Department (CSCD) through the Orders of the Court.
DUTIES:
- Prepare and/or maintain administrative files;
- Provide telephone coverage, handle inquiries, and receive visitors or guests (i.e., Program participants, members of the Judiciary, law enforcement representatives, prosecutors, defense attorneys, the general public, etc.);
- Receive email and phone requests for treatment and/or offender education start dates from Community Supervision Officers; and request required documents from the referring source;
- Develop and maintain spreadsheets, waitlists, rosters, and reports for multiple programs;
- Prepare, maintain, monitor, and coordinate reports pertaining to specific programs and/or participants of a program as directed;
- Maintain weekly scheduling appointment calendar for counselors and/or group facilitators;
- Maintain evening group folders, including attendance, certificates of completion, and notification to CSCD personnel;
- Conduct pre-admission for offender education programs, grade screening materials, and assemble documents required for pre-admission processing;
- As required and/or directed, prepare correspondence, reports, and other narrative data; and distribute to appropriate personnel and/or outside agencies;
- Purchase, organize, inventory, and distribute food and ancillary items for all Day Treatment Program locations;
- Order, distribute, maintain, and monitor office supplies, as scheduled;
- Transport program participants when needed and as directed;
- Assist Programs Supervisor as directed with Department vehicle needs;
- Perform requests for maintenance issues at the District Resource Center;
- Follow the procedures at all Programs Division locations as instructed on the Building Security Form(s).
- Notify appropriate administrative personnel of all emergencies or any crisis which arises. If any incident arises, the incident must be reported on an Incident Report Form. The Form must be provided to the management of the Programs Division. The Director and/or the Supervisor of the Programs Division may be contacted concerning any and all incidents.
- Other duties as assigned by the Director and/or Supervisor of the Programs Division.
QUALIFICATIONS:
- High school diploma or General Equivalency Development (GED);
- Ability to work independently on difficult or complex tasks;
- Ability to maintain professional relationships with the Courts, other CSCD employees, various government agencies, program participants, and the general public;
- Ability to collaborate with other administrative and/or clerical staff of the Programs Division and/or the CSCD;
- Excellent knowledge of modern office practices and procedures including but not limited to the ability to: multi-task, operation of office machines, and effective and efficiently use of personal computer programs;
- Familiarity and experience with computer-based record keeping;
- Must possess a valid driver's license and be willing to work flexible hours as needed.
