POSITION: FLEET ADMINISTRATOR
The Fleet Administrator plays a key role in managing the daily administrative functions of the Fleet Department, ensuring operational efficiency, compliance, and accuracy in all fleet-related transactions. This position is responsible for work order processing, purchase order creation, inventory management , vendor communication, and reporting.
Additionally, the Fleet Administrator supports internal and external stakeholders, coordinates inventory tracking, and ensures that all fleet processes and procedures are followed. This role requires strong organizational skills, attention to detail, and the ability to manage multiple priorities in a fast-paced environment.
DUTIES TO PERFORM:
- Create and review Work Orders daily.
- Respond to all Equipment Service Requests and ensure Work Orders are created.
- Communicate with Fleet and Operations personnel to ensure the records are updated.
- Follow up with vendors for Work Orders waiting on parts or invoices.
- Ensure equipment locations, status, and naming conventions are correct.
- Schedule all truck and vehicle PM services.
- Complete all heavy equipment fluid requests.
- Order fuel for the shop and jobsites.
- Schedule calibration services for tensiometers as required.
- Create purchase orders and account for missing or unnecessary items related to the PO.
- Review invoices for accuracy and resolve discrepancies.
- Manage the receiving of packages for the company.
- Order shop supplies.
- For equipment disposal, complete the monthly equipment merge and discontinue.
- Schedule equipment moves.
- Create and update the Standard Operating Procedures (SOPs) for the Fleet Department.
- Accurately receive, record, and issue inventory while maintaining organized records.
- Create job requisitions and generate reorder reports to maintain proper stock levels.
- Compare vendor pricing to optimize costs without compromising quality.
- Manage the Safety PPE inventory.
- Maintain the Surplus Materials Warehouse.
- Participate in the physical inventory counts to verify accuracy and address discrepancies.
- Manage a high volume of inbound and outbound emails and phone calls.
- Crosstrain to perform the Fleet Coordinator job tasks as requested.
- Create and maintain reports and make updates as needed.
- Learn all systems and processes and contribute to all areas of Fleet Operations.
- Work safely and adhere to all applicable safety policies and comply with all company policies, procedures, and standards.
- Perform other duties as assigned by management.
SKILLS, KNOWLEDGE, QUALIFICATIONS, & EXPERIENCE:
- Education and/or Experience: High school diploma or GED plus technical education; or three to five years related experience and/or training; or equivalent combination of education and experience.
- Language Skills: Ability to convey your ideas with clarity and precision, read, analyze, and interpret technical procedures and governmental regulations. Ability to write reports and business correspondence and effectively present information and respond to questions.
- Mathematical Skills: Critical thinking, problem solving, analytical thinking, and time management.
- Reasoning Ability: Ability to solve practical problems and deal with a variety of concrete variables in situations where limited standardization exists. Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form. Must be able to work under time and budgetary constraints.
- Computer Skills: Skilled knowledge of the internet and using computers and related technology, accounting systems, administrative software, database software; spreadsheets, and Microsoft Office Suite.
- Communication Skills: Ability to communicate through written, oral, non-verbal, active listening, and contextual communication.
