Job Title: Executive Operations Manager

Position Overview:
We’re looking for a tech-savvy, proactive, and highly organized Executive Operations Manager to become the operational heartbeat of our growing, forward-thinking company. This hybrid role combines the precision of a Human Resources specialist, the structure of an Office Manager, and the agility of an Executive Assistant, offering the right candidate an exciting opportunity to work closely with senior leadership, drive internal efficiency, and support a thriving, innovation-driven culture.
You’ll serve as the right hand to the executive team—streamlining administrative operations, managing people processes, overseeing office functions, and creating seamless systems to keep the business running at peak performance.
Key Responsibilities:
Executive Support
- Act as the primary point of contact and gatekeeper for the executive, managing a fast-paced and complex calendar.
- Coordinate travel arrangements, schedule meetings, and prepare agendas and follow-ups.
- Draft and respond to communications, prioritize messages, and maintain confidentiality across all channels.
- Organize and maintain digital and physical records, ensuring timely access to key information.
- Anticipate the needs of the executive to ensure they are prepared and informed at all times.
Office & Operations Management
- Maintain and organize the office environment to support an efficient, professional, and tech-enabled workspace.
- Track office supply inventory, manage the office budget, and coordinate all deliveries and mail systems.
- Serve as the office’s first point of contact for visitors, maintenance vendors, and third-party providers.
- Oversee company-wide software, phones, computers, printers.
- Manage and maintain company vehicles, including registration, inspections, insurance, GPS, and emergency incident reporting.
- Ensure licenses, registrations, and compliance documents are filed and current at the federal, state, and local levels.
Human Resources Coordination
- Lead onboarding of new employees including documentation, technology setup, office orientation, and policy training.
- Conduct initial applicant screening and support hiring processes alongside senior management.
- Manage employee records, software access, time tracking, PTO/vacation logs, payroll submissions, and benefits coordination.
- Support the performance management process, disciplinary documentation, and offboarding procedures.
- Maintain the company org chart, contact list, and HR filing systems.
- Coordinate compliance with workers' comp, general liability, builders risk audits, and continuing education.

Qualifications:
- 4 years of experience in a similar role combining administrative, HR, and/or office management duties.
- Bachelor’s degree minimum.
- Excellent computer skills (Microsoft Office Suite, Google Workspace, and AI software).
- Exceptional written and verbal communication skills.
- Experience handling confidential and sensitive information with integrity.
