Job Summary:
The Front Desk Associate serves as the first point of contact for guests, ensuring a positive check-in and check-out experience while providing exceptional customer service. This role requires professionalism, strong communication skills, and the ability to multitask in a fast-paced hotel environment.
Key Responsibilities:Guest Services:
- Greet and welcome guests with a friendly and professional attitude.
- Check guests in and out efficiently, ensuring accuracy in reservations and billing.
- Handle guest inquiries, complaints, and requests in a prompt and courteous manner.
- Provide guests with hotel information, including amenities, policies, and local recommendations.
- Address and resolve any guest concerns or escalate issues to management when necessary.
Reservations & Check-In/Out Process:
- Process reservations, cancellations, and modifications using the hotel’s property management system (PMS).
- Verify guest identification and payment methods to ensure compliance with hotel policies.
- Assign rooms based on guest preferences and availability.
- Ensure accurate entry of guest information and special requests in the system.
Administrative & Financial Tasks:
- Manage cash, credit card transactions, and deposits following proper accounting procedures.
- Balance and reconcile the cash drawer at the beginning and end of each shift.
- Maintain accurate records of guest stays, payments, and incident reports.
- Prepare daily reports and assist with night audit procedures when needed.
Communication & Teamwork:
- Collaborate with housekeeping and maintenance to ensure rooms are ready for guests.
- Communicate special requests and VIP guest needs to appropriate departments.
- Assist in training new front desk staff when required.
Safety & Compliance:
- Adhere to hotel safety and security protocols, including handling emergency situations.
- Ensure compliance with hotel policies, local regulations, and brand standards.
- Maintain the cleanliness and organization of the front desk area.
Qualifications & Skills:
- High school diploma or equivalent (hospitality experience preferred).
- Previous customer service experience, preferably in the hotel industry.
- Proficiency with hotel property management systems (PMS) and Microsoft Office.
- Excellent communication, problem-solving, and multitasking abilities.
- Ability to work flexible shifts, including evenings, weekends, and holidays.
Work Environment:
- Standing for extended periods and occasional lifting of up to 25 lbs.
- Fast-paced environment with direct guest interaction.
