JOB TITLE: Payroll Assistant
PURPOSE:
Our Payroll Assistant will mainly assist the Payroll Administrator with reconciliation of payroll and commissions. Payroll Assistants assists the Payroll Administrators in all tasks, including tracking all incoming commissions and statements and dispensing payroll to all agents. Payroll Assistants will primarily report to the Payroll Administrator and generally work within the Accounting/Commissions Department. They are responsible for maintaining payroll systems and processing paychecks according to schedule and in the correct amount. Their duties include consolidating and auditing missing commissions and entering data into payroll databases, calculating paycheck amounts and distributing funds to agent accounts.
DUTIES AND RESPONSIBILITIES:
- Maintain confidentiality within the department.
- Assist Payroll Administrator.
- Maintain Accurate Agent Sheets and agent profiles up to date.
- Manage Payroll Tasks and enter payroll on ADP.
- Reconcile and audit all missing commissions to make proper adjustments.
- Answer Questions related to commissions and pay out deposits.
- Create commission rate schedules and calendars.
- Maintain activities on the agency system up to date.
- Support and handle commission activities, processing and maintenance of commission statements in accordance with policies and procedures, as necessary.
- Coordinate and assist managers/supervisors with new agents' processes and issues.
- Entering data into databases and spreadsheets.
- Handling direct deposit requests and data.
- Making adjustments in pay for bonuses and commission.
- Maintain a database of personnel information and accurate payroll records.
- Conduct regularly scheduled audits of payroll records to ensure continued accuracy.
- Responsible for training and onboarding new team members within the department, ensuring they have the necessary knowledge and resources to succeed in their roles.
JOB QUALIFICATIONS:
- This position requires a person who must be able to work under stress and deal with the public effectively in a professional manner.
- 2-3 years of relevant experience in an office environment.
- Able to type minimum 35 words per minute (minimum).
- Results driven, persistent - able to self-direct and work independently showing initiative, while seeking guidance when appropriate.
- Ability to work with a team
- Comfortable multitasking and prioritizing tasks without guidance.
- Time management expertise to ensure tasks are completed in a timely manner throughout the day.
- Speak fluent Spanish.
- Organizational skills to keep an accurate record of documentation
- Demonstrated ability to read, write, and speak English and Spanish fluently.
- Proficient technology usage skills
- Honest and ethical team player
- Sense of urgency with the ability to multitask under pressure
- Excellent communication skills, both written and verbal
- Computer knowledge such as powerpoint, database and spreadsheets is required.
- Strong attendance history of punctuality.
- High School diploma or General Education Degree (GED) required.
- Ability to pay close attention to detail and be flexible in a fast paced and growing organization.
- Exceptional mathematical and calculation skills.
- Knowledge of different types of payroll software.
- Good research and analysis skills.
