The Administrative Assistant is responsible for administratively supporting the CEO. This includes calendar management, travel coordination, presentations, marketing and promotional materials, furniture and fixtures and corporate records. This position requires the ability to manage multiple projects, serve as a resource to clients, shareholders, Board, and the management team. The Administrative Assistant must maintain and uphold a professional appearance and exemplary work ethic that is conducive to promoting a positive image on behalf of CommerceWest Bank to its employees, as well as the public.

Essential Functions
- Administrative support for the CEO through effective calendar management, travel coordination, meeting preparation, data sorting, assigned projects, event coordination and effectively implementing the Bank's vision, strategy, and culture.
- Contributes to the effectiveness of the CEO by responding to inquiries in person or in writing on behalf of the CEO, participating in meetings as assigned, reviewing, and summarizing data, and facilitating communication to/from the CEO, as necessary.
- Coordinates the Board of Director and Committee meetings, packages, and related correspondence, including drafting corporate minutes. Maintains corporate records.
- Coordinates and manages the administrative processes and projects to assist the CEO.
- Supports the Bank’s marketing and recruitment efforts which includes but is not limited to:
- Marketing plan that includes but is not limited to email marketing campaigns and social media.
- Prepares and creates marketing materials, the weekly CommerceWest Journal, Annual Reports, and press releases.
- Sourcing and maintaining the inventory of promotional items and office supplies.
- Coordinates or administratively supports Bank sponsored events.
- Supports Human Resources by sourcing candidates through the CEO’s social media network and connections.
- Responsible for building, furniture, and fixture maintenance. This includes but is not limited to maintenance, signage, and other miscellaneous items to ensure the office and building are kept up to CommerceWest Bank standards.
- Perform other duties and special projects as needed and assigned.
- Minimum of 7 years of administrative experience.
- Strong written and verbal communication skills.
- Requires the ability to be flexible, work independently, and maintain a high level of confidentiality.
- Must be at team player, self-starter, able to manage multiple tasks and meet deadlines.
- Proficient in Word, Excel, PowerPoint, Outlook, Adobe Illustrator, and Adobe InDesign.
- The ability to cross sell bank products and services to existing clients as well as prospects, growing new profitable relationships by referring opportunities to other parts of the company.
- Must present a professional image.
