The administrative assistant will greet clients and prospective clients of The Investment Centre and will make each person feel welcome and appreciated. This position will provide overall support and assistance to the Financial Advisors as they serve their clients in a professional and efficient manner with their investment needs. The ideal candidate is a self-starter who is proficient in time management, organization, and communication.
RESPONSIBILITIES
- Answer phones, screen calls, and greet clients coming in for appointments.
- Support the Financial Advisors in the service of new and existing clients.
- Assist in the marketing efforts of The Investment Centre by coordinating efforts with the CBC Marketing Director and working with OSAIC Compliance in the submission and approval of advertising and maintenance of advertising logs.
- Maintains client and compliance files to include the documentation performance of required annual reviews on managed accounts, correspondence, and retention of required account forms and related documents.
- Handle incoming and outgoing correspondence to include mail, email, and faxes.
- Prepare sales presentations to include hypothetical illustrations and client presentation materials.
- Receive, log, and prepare deposits of checks received on behalf of clients.
- Open accounts at the direction of the advisors.
- Enter and complete new account forms and transfers; scan and index forms to OSAIC or mail when necessary.
- Follow up on and review ACAT transfers for accuracy and completion.
- Maintain calendar activity of FA's via Redtail; call to schedule periodic reviews with existing clients, wholesalers, and other training related meetings, branch education meetings, and other activities as requested.
- Performs other duties as requested by supervisor.
- Expected to study for and pass the SIE exam.
