Commonstreet is growing rapidly, and we are in immediate need of a Senior Technical Business Systems Analyst to support our growing firm in the Pacific Northwest Region. This position will be hybrid, with an office located in Tacoma, Washington.
PRIMARY RESPONSIBILITIES:
- Lead company-wide process development initiatives aimed at improving operational efficiency and productivity.
- Manage security-related initiatives, ensuring compliance with industry standards and best practices.
- Backup and disaster recovery planning, mitigation, and implementation.
- Plan, deploy and maintain closed AI systems to support organizational goals.
- Expand and optimize the use of the Microsoft suite (e.g., Copilot, Sharepoint, Planner) in alignment with company growth, including deployment and training.
- Create, introduce, and maintain guidelines and secure systems for use of Microsoft Copilot throughout different teams across the company.
- Stay informed of industry regulations and trends, implementing process improvements as needed.
- Creating and managing Airtable databases, including workflow automation and integrations with other tools and platforms to automate business processes.
- Conduct regular assessments of business systems in collaboration with cross-functional teams, identifying opportunities for enhancements, upgrades, and process improvements to optimize performance and reduce manual efforts using approved tools and systems.
- Oversee workstation management, including technology procurement, replacement, company and employee software systems accounts, ensuring smooth integration of new technology.
- Manage new hire tech setup and orientation processes, ensuring seamless onboarding.
- Conduct or coordinate company-wide trainings on process or security issues quarterly or as needed.
- Create, manage, and optimize the internal ticketing system to improve issue resolution workflows.
- Oversee tablet deployment and expansion to meet organizational needs.
- Take ownership of Mobile Device Management (MDM) processes, ensuring security and compliance.
- Create and maintain documentation for system configurations, troubleshooting steps, and user guides.
- Take ownership of projects, working independently to drive them from ideation to completion.
- Provide support and guidance to internal stakeholders, troubleshooting and resolving issues proactively.
- Maintain confidentiality and handle sensitive information with the utmost discretion, ensuring compliance with legal and regulatory changes.
- Facilitate cyber insurance renewals and policy updates in collaboration with HR
- Serve as main contact for contracted IT consultant, including but not limited to;
- attending quarterly cyber security review meetings
- monitoring employee ticketing trends
- reviewing device and employee tracking for accuracy
- communicating organizational needs and desires for IT Road Map
- Manage Technology Department Outlook inbox
- Monitor and manage phase out of terminated employee inboxes
- Conduct monthly Tech Department meetings
- Collaborate on establishing ream processes and standards that will support future organizational scaling and potential direct reports.
- Other duties and special projects as assigned
QUALIFICATIONS AND EDUCATION REQUIREMENTS
- Bachelor’s degree in computer science, information technology, or related field.
- 5 years of experience in a technical business systems analysis or similar role, preferably in a senior or leadership capacity with a strong understanding of ERP, CRM, and/or other business systems.
- Expertise with the Microsoft 365 business suite.
- Strong experience in security management, process optimization, and AI system deployment.
- Proven track record of managing technical projects, creating training resources, and improving system workflows.
- Excellent communication, leadership, and organizational skills to drive improvements independently and in collaboration with teams.
