Position Overview : We are seeking a highly organized, proactive, and dynamic individual to join our team as an Office & Building Manager with project management experience. This role involves overseeing the day-to-day operations of the office or building, managing facilities, coordinating fleet operations, and renting out common spaces for various events or purposes. The ideal candidate will have experience working with neurodivergent individuals, ensuring a supportive and inclusive environment, and maintaining efficient management systems across all aspects of building operations.
Key Responsibilities :
- Facilities and Building Management :
- Oversee the daily operations and maintenance of the office / building, ensuring all systems are functional and operational.
- Coordinate routine inspections, maintenance schedules, and ensure the building meets all health, safety, and compliance standards.
- Maintain relationships with service providers and vendors to ensure cost-effective and high-quality services.
- Project Management :
- Lead and manage special projects related to building improvement, renovation, and any operational changes.
- Develop timelines, allocate resources, and monitor progress on various facility management projects.
- Ensure that all projects are completed on time, within budget, and to the highest standards.
- Fleet Management :
- Oversee the maintenance, scheduling, and operation of the buildings fleet of vehicles.
- Ensure that all vehicles are properly maintained, insured, and available for use when required.
- Manage vehicle allocation and ensure compliance with transportation safety regulations.
- Space Scheduling and Rental :
- Coordinate the booking and rental of common spaces within the building for meetings, events, or other activities.
- Maintain an up-to-date schedule of space availability and manage communication with clients or tenants who wish to rent spaces.
- Develop and enforce rental policies and procedures, ensuring appropriate use of shared spaces.
- Handle all aspects of the rental process, including pricing, contracts, invoicing, and logistical support.
- Support for Neurodivergent Individuals :
- Ensure the building and office environment is inclusive and supportive for neurodivergent individuals, creating spaces that are accessible and adaptable to their needs.
- Collaborate with HR and other departments to provide tailored accommodations and support where necessary.
- Maintain open communication with neurodivergent individuals and address any concerns they may have regarding the workplace environment.
- General Administrative Support :
- Provide administrative support to senior management as needed, including coordinating meetings and managing building-related communications.
- Monitor and manage office supplies, equipment, and technology, ensuring they are fully operational and well-stocked.
- Ensure smooth and efficient operations in management of Mail Only clients and the front desk.
