Summary

We are looking for a dedicated administrative professional to join our fast-paced, growing financial services firm in our flagship Boston office within the Seaport District. In this role, you will be responsible for delivering exceptional, personalized service to clients internally and externally. You will be managing their requests, reservations, and special arrangements with care. Your ability to anticipate needs, maintain confidentiality, and provide a seamless experience will be critical to your success in this position. The ideal candidate will have a strong background in customer service, excellent communication skills, and a deep understanding of flawless services and experiences. You will be expected to handle a wide range of tasks, all while maintaining a professional and approachable demeanor. Attention to detail, problem-solving skills, and the ability to work under pressure are essential qualities for this role. You will collaborate with various departments and external partners to deliver a seamless and memorable experience for our clientele. Responsibilities

Agency, Advisor, and Client Service, including greeting and engaging associates, guests, and callers promptly in a friendly and professional manner

o Serve as the first impression to office visitors, anticipating client needs and providing personalized service

o Build and nurture strong relationships with clients

o Maintain the professional appearance of all office space

o Manage conference room calendaring

o Assist with on-site event and meeting details

o Coordinate building access management

o Manage inventory of office and kitchen supplies, keys, and seating charts

o Assist with administrative functions for associates and colleagues

o Handle last-minute changes and resolve issues promptly

o Assist or prepare correspondence as requested

o Process the incoming and outgoing mail

o Perform other related duties as assigned

Qualifications

o Proven experience in a customer service or concierge role

o Excellent communication and interpersonal skills

o Ability to work under pressure and manage multiple tasks

o Exceptional attention to detail and problem-solving skills

o Professional demeanor and appearance

o Associate or Bachelor’s degree preferred

o Knowledgeable with MS Office (Word, Excel, PowerPoint, and Outlook)

Job Type: Full-time

Pay: $52,000.00 - $60,000.00 per year
