Our fast-growing financial services firm is looking for an Administrative Professional who is ready to take on a vital role within a local financial planning practice. This is a unique opportunity for someone eager to learn about financial planning, contribute to our team's success, and grow into a Practice Manager role in the future.
In this role, you will be responsible for supporting our day-to-day operations by managing client relationships, overseeing administrative tasks, and ensuring our processes run smoothly. You’ll work directly with me, the advisor, as well as clients, gaining hands-on experience and insight into the financial services industry.
What You’ll Do:
- Client Support: Manage client onboarding, maintain ongoing relationships, and implement our client service model to ensure a top-notch experience.
- Administrative Coordination: Oversee the management of my calendar, email, and appointments to ensure seamless day-to-day operations.
- Business Processing: Process new business requests and service updates, ensuring accuracy and efficiency.
- Database Management: Maintain our client relationship database and file systems, ensuring data integrity and confidentiality.
- Communication: Act as the point of contact between clients, insurance, and asset management companies, providing updates and managing service requests.
- Marketing & Projects: Help implement marketing initiatives and support special projects to enhance our practice’s growth and visibility.
What We’re Looking For:
- Experience: At least 2 years in an administrative role, preferably within the financial industry. A solid understanding of client service is essential.
- Education: An Associate’s or Bachelor’s degree (preferred).
- Skills: Proficiency in MS Office (Outlook, Teams, OneNote, Word, Excel, PowerPoint) and strong organizational skills.
- Communication: Effective written, verbal, and interpersonal skills, with a strong emphasis on client relations and professionalism.
- Detail-Oriented: The ability to handle multiple tasks while maintaining attention to detail and the highest level of discretion.
- Customer-Focused: A passion for providing excellent customer service in a fast-paced environment and a collaborative team mindset.
