Job Duties
The Clerk of Court (Grade 12), under the general supervision of the Chief Judge, plans, organizes. and administers support services required for the effective functioning of the Court, including, but not limited to, case management, facility management, strategic planning, fiscal activity, supervision, and coordination of activities with the judicial system and other city/county departments. The Clerk monitors procedures to provide high quality customer service, comply with law, and meet needs of the Court and all state and local criminal justice agencies.

Essential Duties and Responsibilities:
The Clerk is responsible for financial management, staffing, budget development, efficient caseload processing, and courteous service to the public. In addition to supervisory and administrative responsibilities, the Clerk is also an integral part of the work force in case processing and all other tasks connected with the functioning of the office in order to provide timely public service. Essential job functions include, but are not limited to, the following:
• Manages and directs the activities of assigned staff; coordinates, prioritizes, and assigns tasks and projects; tracks and reviews work progress and activities; directs the recruitment and selection of staff; undertakes disciplinary action as required; conducts performance evaluations; ensures appropriate scheduling of staff to ensure proper operational coverage.
• Recommends selection of staff; trains staff, and provides for their professional development; administers discipline, as required.
• Develops and implements goals, objectives, policies, procedures, and work standards for the department; prepares and administers the department’s budget.
• Ensures the accuracy specified all court records and documents; provides for secure storage and appropriate access.
• Monitors and coordinates case processing to ensure the most effective and efficient handling of cases.
• Answers inquiries, provides information,n and resolves complaints from judges, attorneys, other City/County staff and the public regarding assigned functions and activities, which often requires the use of judgment and the interpretation of policies, rules, and procedures.
• Prepares and administers operational, budget, and other statistical data and information, maintains various records, and prepares special and periodic reports.
• Develops, administers, and monitors the Court’s budget; procures supplies and materials; ensures proper reporting and recordkeeping.
• Coordinates records management and storage, word processing, legal clerical processing, and related activities.
• Arranges for maintenance, repair and purchase of equipment; orders supplies, and ensures proper maintenance of required materials.
• Oversees the maintenance of accurate records, including the automation of the calendaring and record keeping systems; maintains accurate financial records.
• Conducts studies, analyzes information, evaluates alternatives, and makes recommendations; prepares narrative reports of findings; develops, revises, and implements policies and procedures.
Minimum Qualifications
A high school diploma is required.
Preferred candidates must work well with multiple projects, changing priorities, and strict deadlines. Applicants should be highly organized and possess significant knowledge, skills and abilities in public relations, human resources management, time management, and performance management. Applicant must have the ability to explain procedures in a clear and easy to understand manner in person, possess excellent written and verbal communication skills, and have an advanced knowledge of office automation systems and computer software, specifically in Microsoft Office Word and Excel.
Additional Considerations
A college degree in public administration or a related field, or experience in the court system is preferred. Experience at the supervisory or management level in a court, business or office setting is preferred. Most competitive applicants will have considerable judicial system, legal, business or office-related supervisory experience.
