Job Summary :
The Property Coordinator is responsible for tracking and maintaining all service contracts related to the Property and providing support to the building management team to assist in achieving the management goal of maintaining the Property in accordance with the established standards, while providing quality service expected by Class A building tenants.
Essential Functions :
Contracts and Insurance Administration
- Implement new programs or procedures as established by the Corporate Property Management department.
- Prepare, track and maintainall service contracts, agreements, amendments and purchase orders, related to property; submit to Property Managers for review as required.
- Ensure proper signatures are received and distribution is completed upon final execution of each service contract,agreement, amendment, or purchase order.
- Maintain a matrix of service contracts.
- Work with Director of Operations and Property Managers to ensure contracts and certificates of insurance are current for all contractors conducting work on property
- Notify Director of Operations and Property Managers90 days prior to expiration date of contracts.
- Maintain and Coordinate Certificates of Insurance as required from tenants and contractors ; update and maintain COI management system.
- Review and maintain contractor and tenant insurancecertificates and endorsements to ensure they are in compliance with building insurance requirements and tenant lease requirements.
- Follow up with insurancebrokers, contractors, and tenants regarding revisions to insurance certificates in order to comply with building insurance specifications.
- Track insurance expirations throughinsurance log and database, sendingout renewal letters and tracking responses as required.
- Provide reporting information regarding responsible contractors.

Supervisory Responsibility :
None.
Physical Demands :
This is a largely sedentary role that requires walking, talking, hearing, repetitive motion using a keyboard, and visual acuity for reading and viewing a computer monitor.
Travel :
No travel is expected for this position.
Education and Experience :
Bachelor’s degree in real estate, business, or equivalent preferred.
Twoyears administrative or professional experience, preferably in a property management office.
Additional Eligibility Qualifications :
Proficiency in MS Office required.
Excellent written and verbal communication skills.
Excellent organizational skills, ability to prioritize and attention to detail a must.
Must work well with others and interact positively with team members and tenants.
Must have the ability to manage time and multiple projects efficiently and achieve the required results.
Must be able to define problems, collect data, establish facts and draw valid conclusions.

Salary Range for City National Plaza :
70,000 to $75,000, plus discretionary bonus.
