Position Summary Information
Position Purpose
This position provides data management support to ensure compliance with the American with Disabilities Act (ADA),Section 504 of the Rehabilitation Act, and serves as technical support in the University Disability Services (UDS) office to assist in accurate data collection, reporting and document preservation. This position also coordinates technology, programs, and services with current and potential students with disabilities, parents, school districts,instructors, student employees and outside providers and vendors, to facilitate students’ educational access.
Description of Duties
- Utilizes Accommodate software system to create queries for bi-annual reporting to the office of Institutional Effectiveness regarding number of students classified per particular disability.
- Provides data related to student use of various accommodations (e.×., lecture recording) to assist the Director is making needs-based purchases to better support the student experience.
- Provides analytic data to Director regarding how often students utilize Glean software so that the Director and staff have information to assist them in individual student planning meetings.
- Responsible for running queries related to GPA comparisons of student users prior to software use and post-software use to collect data to be used in bi-annual report.
- Responsible for tracking licenses and renewing licenses.
- Issues individual licenses for student users of Glean software across all campuses.
- Provides training for Glean software use to faculty/staff/students.
- Develop program recommendations with limited procedural guidance and work within disciplines such as management methods and disability program support activities.
- Develops, executes, and organizes queries, analytics and automated reports related to technological accommodations, data management systems, and student information systems.
- Designs electronic forms and confers with employees, Director, and the Division of University Affairs officials to collect needed information.
- Provides training and limited support to regional university staff on the use and capabilities of available information technology resources, coordinates data needs and requirements between the program staff and IT professionals across campuses with the support of local office personnel.
- Writes and sends office reports as needed to disability Director, students, faculty, staff as well as community and state agencies.
- Prepares reports of findings by presenting alternative approaches and recommending the most appropriate course of action.
- Updates/expands Student Master List. Oversees office records management including confidential active and inactive student files and general filing systems. Maintains strict confidentiality.
- Reviews descriptions, records, charts, layouts, and diagrams to determine the university structure or space utilization by applying information content against appropriate standards. This includes future technology needs-based projections on a limited capacity.
- Maintains daily appointment calendar as well as testing calendar. Answers questions, gives guidance regarding appropriate office requirements and procedures. Answers written and phone inquiries regarding all aspects of the office.
- Applies program logic and technical principles of management disciplines when preparing, monitoring, reviewing, and organizing records, with minimal procedural guidance, for Director’s determination of disability service provision.
- Continuously monitors and tracks provision of accommodations, i.e.: classroom support, note taking requests and exam requests to be ADA compliant.
- Coordinates and facilitates scheduling of semester exams, mid-terms and final exams taken by students in “separate location” according to individual accommodations.
- In conjunction with the Testing Center, administers placement testing, for students with disabilities.
- Coordinates all phases and processes of accommodative adaptive equipment (i.e. audio books, SmartPens, Lecture Recording Software, Grammarly, etc.) including procurement, maintenance of the equipment, and purchasing new/replacement equipment.
- Organizes and coordinates the equipment on loan. Establishes and maintains the equipment/technology inventory.
- Identifies and applies pertinent policy and program guidelines for both student technological accommodations as well as office systems.
- Contacts appropriate personnel to secure explanations for atypical situations, incomplete information, malfunctions or inaccurate data.
- Trouble-shoots when processes with equipment fails to work properly. Addresses issues/concerns of students and makes recommendations on alternate courses of action if necessary.
- Performs accommodative software program control activities while applying rules and regulations to the processing of adaptive software applications.
- Reviews adherence to instructions, plans, and standards for specifically assigned, disability related projects.
- Assists users of technological accommodations and maintains training resources.
- Schedules, coordinates and plans educational and training workshops and other events for the office.
- Assists office in high peak seasons with the following:
- Communicates new (or changed) policies, procedures and/or processes with students receiving disability services, as well as faculty, to ensure they understand the information.
- Talks with students to assess progress and address issues/concerns.
- Assists parents/students with understanding specific accommodations, identifies and refers to other campus departments for additional assistance.
- Arranges and coordinates mobility specialist to conduct the mobility training for the bus and information such as how to locate a particular class and/or building on campus.
- Discusses students’ accommodative needs with faculty/chairpersons to ensure understanding and ADA compliance.
- Contacts instructors, when necessary, regarding specialized accommodations or to discuss accommodative needs in preparation for the semester.
- Maintains control and efficiency of a complex office; practices continuous improvement of all principles; cross-trains in all aspects of office duties and responsibilities.
- Reviews and assesses completed disability identification forms and documentation. Prepares new student files and letters of acknowledgement.
- Assists and informs faculty, whose students use the services of this office, regarding ADA compliance and their responsibilities at the university. Maintains strict confidentiality in regard to FERPA regulations and student information.
- Coordinates all phases and processes of accommodative adaptive equipment, audiobooks, etc., including maintenance of the equipment, and purchasing new / replacement equipment. Organizes and coordinates the equipment on loan.
- Establishes and maintains the adaptive and office equipment/technology inventory.
- Performs student payroll for notetakers. Interviews, hires, schedules and monitors note takers, readers and scribes.
Decision Making
Responsible for developing/running reports/queries/analytics and reporting to the Director any issues, concerns, patterns that could impact the support being provided to students. Reports are shared with the Director in order to assist in the bi-annual reporting process.
Independent decisions are made concerning processes to be followed when identifying and coordinating with our software and technology needs [ie. Simplicity (Accommodate), Sonocent (Glean), Grammarly, OVR, CART services], and in the implementation of accommodations with academic professionals. Actively coordinates and works directly with the Director to formulate protocols in delivering services to students as well as establishing officeprocesses and procedures related to technological accommodations.
Fiscal Responsibility
In relation to software and adaptive equipment – Advises on service purchase contracts and purchase requests, transfers of funds and payment of invoices. Monitors the procurement and quotes, consults with the Director regularly through meetings to review expenditures and existing funds to ensure proper budget is maintainedthroughout the fiscal year as it pertains to subscription services and licensing fees. Completes the reports to provides the Director for submission to the Division of University Affairs.
Supervisory Responsibility
This position has no direct reports. However, it interviews, hires, schedules and monitors several office work study students in addition to several note takers on an annual basis as well as readers and scribes. Educates student workers on business procedures, telephone, and public relation skills necessary for working in a high-volume office. Distributes and explains work assignments, assists with on-the- job training and reviewing of the work.
Minimum Requirements Profile
Three years of advanced clerical or para-professional work which included the collection, recording, compilation, and presentation of office management or program related information

Any equivalent experience and/or training. An Associate’s Degree may be substituted for two year of required experience.

- Knowledge of the specialized office procedures and practices which relate to the implementation and provision of disability services.
- Knowledge of standard office procedures, practices, conduct, and actions necessary in maintaining harmonious working relationships.
- Knowledge of the types, organization, and use of various kinds of office files that are organized according to multiple indexing methods; and logs, forms, and letter formats used in consolidating information from numerous sources. Skill in typing at a minimum speed of 40 words per minute.
- Knowledge of Americans with Disabilities Act (ADA), Section 504 of the Rehabilitation Act, and the practical applications of these laws, i.e.: documentation, reasonable accommodations, etc.
