What are the responsibilities and job description for the Receptionist position at Communicare KY?
POSITION SUMMARY: Primarily responsible for greeting internal and external customers as well as answering incoming calls to facility. Provides secretarial and clerical support to ensure smooth and efficient operations.
QUALIFICATIONS: High school education with four (4) years of related office experience or Associate Degree in secretarial science or related field or Vocational school certificate and 1 year of experience.
SKILL SETS: Advanced user of Microsoft Office Programs, type 50 WPM, communication, organization, presentation skills and exceptional customer service/greeting skills.
PHYSICAL AND ENVIORMENTAL DEMANDS: Visual acuity necessary for updating files and completing an assortment of paperwork. Requires frequent stooping, kneeling, and crouching to file records. Hearing and talking necessary to answer phone and talk with employees and other individuals. Work is light with walking, standing and sitting. Manual dexterity is required to perform word processing and other clerical duties.
JOB SPECIFIC FUNCTIONS:
- Handles all incoming telephone calls courteously and exercises judgment as to the urgency of the calls and directs them to appropriate personnel in a timely manner. Incoming calls will be answered in a professional manner and a script will be provided.
- Greets all visitors, clients and staff in a professional manner.
- Orders supplies for the office, kitchen, copy machine and postage meter for the administrative office, (i.e., sugar, coffee, paper, postage, etc.).
- Distributes incoming mail and collects outgoing mail no later than 5 P.M. daily and drops off to appropriate location daily.
- Type correspondence, memorandums, reports, and collates copies in an accurate and timely fashion.
- Distributes incoming faxes in a timely manner.
- Assist in filing human resources documents
- Complies human resources newsletter
- Runs annual background checks monthly
- Participates in agency continuing quality improvement (CQI) activities.
- Performs other duties as assigned.
MANDATORY REQUIREMENTS:
- Adheres to Communicare, Inc. policies and procedures.
- Attends mandatory in-services and other training/educational programs as required.
