Job Summary: Under the general supervision of the Director of ERSEA Services, the ERSEA Enrollment Specialist plays a critical role in supporting enrollment processes and ensuring compliance with eligibility, selection, and enrollment requirements. This position is responsible for accurately entering and maintaining family enrollment data in the agency's database systems while providing direct support to families throughout the enrollment and certification process. Additionally, the Enrollment Specialist assists with translation services and coordinates with internal teams to ensure timely and efficient service delivery.
Primary Responsibilities:
Enrollment & Certification
- Assist families with enrollment, including verifying income, job status, family needs, and schedules.
- Conduct interviews and certify eligibility for new enrollees in both Head Start (HS) and California Department of Education (CDE) programs.
- Recertify existing families and follow up on missing documents for certification files.
- Ensure enrollment packages are complete and distribute required forms to family advocates.
- Scan and archive eligibility files into DocuWare.
- Maintain compliance with federal and state eligibility guidelines.
Administrative & Data Management
- Enter and update family data in NOHO Care, Child Plus, and Empower database systems.
- Monitor Region 2 Attendance and collaborate with family advocates on attendance plans.
- Prepare and process family daycare provider attendance and billing.
- Track and coordinate classroom enrollments with internal teams.
- Assist in gathering demographic data for CSBG reports.
Family & Community Support
- Greet visitors warmly and provide responsive customer service.
- Answer direct phone calls, addressing general program inquiries.
- Provide translation assistance (verbal and written) for parents and staff as needed.
- Translate administrative communications, meeting discussions, and enrollment-related materials.
- Refer families to community services and resources as appropriate.
- Participate in community outreach and recruitment efforts aligned with Head Start Selection Criteria.
Additional Duties
- Maintain family file databases and assist with billing inquiries.
- Respond to walk-in inquiries and general administrative tasks.
- Perform other duties as assigned to support the agency’s mission and operational needs.
Qualifications
- High school diploma, GED, or equivalent required.
- Prior experience in office administration or enrollment services.
- Proficiency in Microsoft Outlook, Excel, and Word.
- Strong written and verbal communication skills.
- Ability to work collaboratively with staff and families in a diverse environment.
- Bilingual (English/Spanish) required.
- Deep understanding of equity, inclusion, and diversity in service delivery.
- Must pass a Criminal Record Clearance with a Child Abuse Index Check.
- Successfully complete an employment physical and provide proof of TB clearance within seven days of hire.
Physical Requirements

Salary : $29 - $32
