SUMMARY
The Workforce Program Coordinator reports directly to the Program Director and is responsible for administering quality employment and training services to program customers and for assisting with the coordination of services available through the local one stop delivery system.
ESSENTIAL DUTIES AND RESPONSIBILITIES
· Receives entry-level calls to unemployment insurances, including the operator line.
· Provides information that does not require in-depth knowledge of applicable federal and/or state laws, rules, policies, procedures, and/or legal interpretations, and responds to inquiries, requests, and/or complaints from internal and/or external customers received in writing, e-mail, telephone, in-person, and/or other means of communication.
· Responds to questions regarding initial unemployment applications, e.g., explains why application may be pending or denied.
· Updates claimant and employer demographic information, e.g., Federal Employer Identification Numbers; addresses.
· Provides claims intake services, informs and advises of rights and responsibilities, obtains pertinent information on previous claims history.
· Aids employer designees, e.g., Certified Public Accountants, with third-party updates.
· Provides online navigation assistance for claimants and employers.
· Answers questions pertaining to Ohio Business Gateway and assists employers with record layout for file uploads.
· Verify payment made to claimants and payment received from employers.
· Responds to inquiries on various unemployment insurance services and escalates calls to next tier, if needed.
· Serves on outbound call campaigns, e.g., returning calls to claimants after system outages, targeted campaigns.
· Reviews and replies to questions received in the Office of Unemployment Insurance Operations email inbox and escalates questions to next tier, if needed.
· Schedules return calls based on availability of staff and at the request of the customer.
· Performs pin and password resets for claimants and employers.
· Sends letters to employers requesting additional information on wage reports;
· Performs variety of support duties, operates personal computer to enter, update, correct, delete, or send data; retrieves data to verify/provide information; composes and/or generates correspondence, reports, and other documents, etc.
· Attends training (i.e., travels to training sites which includes overnight travel as assigned); travels to other office locations & alternate work sites.
· Provides general information, technical assistance and training on the local workforce development system to agency staff, area employers and community organizations.
· Assists in the creation of a safety culture by working in a safe manner; reporting unsafe situations and accidents; following safety procedures; requesting and using safety equipment and safety techniques; and participating in safety training.
· Complies with agency and departmental policies and procedures, including those related to client confidentiality.
· Regular and punctual attendance on the job.
· Assumes additional duties and responsibilities upon the direction of Program Director.
OCCASIONAL FUNCTIONS· Participates on work-related committees.
QUALIFICATIONS AND PROFESSIONAL REQUIREMENTS
· Bachelor’s degree in business administration and two or more years professional experience in either the public or private sector preferred. An equivalent combination of education and/or professional experience may substitute if it can be demonstrated that it provides the knowledge, skills and abilities to perform the duties required of this position.
· Excellent verbal and written communication, interpersonal, problem-solving, decision making, time management, team building and organizational skills. Must have the ability to effectively communicate with individuals and large groups, as well as facilitate participant, employer, community partner and public meetings.
· Ability to work a flexible schedule, including evenings and weekends, in order to meet the needs of community residents and be present at community functions.
· Working knowledge of pertinent workforce development legislation, applicable labor laws and other social service programs within the Scioto County area.
· Ability to maintain professionalism and confidentiality.
· Strong command of MS Office tools including Power Point, Excel, Word and SharePoint.
· High energy, initiative, and creativity are desired.
· Strong commitment to learning and integrating cultural differences into day-to-day practices.
· Compliance with agency/departmental pre-hire requirements, including drug free workplace, criminal background, and vaccination status.
· Valid driver's license and reliable transportation and automotive liability insurance.
· Adherence to agency vaccination requirements.
WORK CONDITIONS AND POTENTIAL HAZARDS
There is frequent, personal contact with people; exposure to illness and communicable diseases, people with a wide range of physical and mental disabilities, emotionally distraught, communication or memory impaired, confused and irate and those under the influence of drugs or alcohol; Must sit and operate keyboard or write for extended periods of time; Must be able to climb up and down stairs and walk on a variety of surfaces in various locations, including personal homes; Must work in fast-paced environment performing several different tasks in a brief time; frequent visits to a variety of locations required; Must be able to drive agency and personal vehicles, as needed. Business travel is required.
