A Day in the Life as a Reporting and Support Specialist:
Duties
As the Reporting and Support Specialist, you will be responsible for a variety of administrative and dispatching back-up duties to facilitate the operations of the public transportation services in the Agency. Your day will involve:
- Working closely with and assisting the transportation director and manager in the daily operation and helping to identify and report any problems in the operation, scheduling and implementation of the system.
- Receiving, accurately recording and scheduling ride requests for all routes in scheduling software.
- Assisting with all billing duties associated with vehicle maintenance, interagency fund transfers and other required invoicing.
- Performing clerical duties to facilitate the smooth operations of the transportation functions (both transit and non-transit) including data collection, correspondence, schedules and responses to telephone and email inquiries.
- Assisting the transportation director and manager with securing information as requested by both internal and external programs/organizations and prepare documentation as needed.
- Assisting in the purchasing process by placing orders, completing purchase orders, verifying orders and invoices for approval and submitting them to the Fiscal Department.
- Providing telephone information and referral about all scheduled programs, routes and general services.
Requirements
Qualifications to Be a Reporting and Support Specialist:
To Excel In This Role, You’ll Need
- Education: High school education or the equivalent required.
- Experience: Experience in dispatching and scheduling public transit systems that include fixed route complementary Paratransit and demand response a plus.
- Skills: Excellent telephone and interpersonal communication skills. Knowledge of basic purchasing, office accounting preparing invoices and purchase orders.
- Characteristics: Proficiency in administrative record keeping and office procedures. Requires strong organizational skills in an office environment to act independently and efficiently solving problems.
- Technical: Knowledge and use of Windows operating systems, computer networking, Microsoft Office and Spreadsheets along with Dispatching software. Computer proficiency, including experience with TEAMS, Microsoft Office and Dispatching Software.
