Reports To: Assistant Superintendent of Finance and Operations
Pay Grade: Grade 5, step 1 – starting at $19.05 per hour
Schedule: 8 hours per day / 40 hours per week / 52-week position
Job Summary: The Community Enrichment receptionist/administrative assistant is responsible for ensuring the smooth operation of the Community Enrichment department and maintaining good public relations with students, parents, community and staff.
Preferred Qualifications:
- Associate's Degree.
- Experience in prioritizing several concurrent projects.
- Demonstrated excellent customer service skills.
- Demonstrated excellent communication skills, verbal and written.
- Working knowledge of Windows-based programs (word processing, spreadsheets, and presentation software).
- Knowledge of Google Suite products.
- Demonstrated ability to participate as a member of the team.
- Demonstrated ability to work in a diverse environment.
Essential Job Functions:
- Create and maintain a vibrant social media presence for Community Enrichment.
- Coordinate general office functions, including but not limited to: office/program supplies, telephone, mail, etc.
- Greet and assist customers in a positive manner, both in person and over the phone.
- Maintain registration software.
- Monitor program course enrollments and respond as necessary.
- Disseminate class rosters to appropriate parties.
- Manage all facets of building use requests.
- Manage department email and respond in a timely manner.
- Process payroll for program instructors.
- Consistent and reliable punctuality and attendance.
- Demonstrated flexibility and ability to work under pressure.
- Work independently with minimal supervision.
- Perform other duties as assigned.
Work Environment:
The noise level in the work environment is usually moderate to loud. Work will be performed primarily indoors but may need to be outdoors infrequently.
Physical Requirements:
While performing the duties of this job, the employee is required to stand, walk, sit, use hands to finger, handle, or feel, reach with hands and arms, climb or balance, stoop, kneel, jump, crouch, or crawl, talk, hear (in a quiet or noisy environment). The employee must occasionally lift and/or move up to 40 pounds. Specific vision abilities required by this job include close vision, distance vision and ability to adjust/focus.
