What are the responsibilities and job description for the Documentation Specialist position at Community Association Management, Limited?
POSITION SUMMARY
This is a hands-on, individual contributor role responsible for capturing and documenting business processes, practices, and procedures across the enterprise. The Documentation Specialist works alongside Subject Matter Experts throughout the organization to capture work procedures in a written format and ensures that the Technical Writer has all necessary information to create standardized documentation. In addition to capturing information, the incumbent will also manage the validation process to ensure that all completed procedures are accurate before being housed within the company’s documentation repository.
POSITION OBJECTIVES
Ensure the company’s processes and procedures are identified, captured, complete, and accurate for all departments.
Engage at all levels of the organization, developing strong cross-functional partnerships while driving documentation
deliverables to improve processes. Utilize heavy job shadowing in a live or virtual side-by-side setting on a routine basis
to identify all touch points or a given process. Ensure that Community Association Management has a comprehensive up to-date suite of documented policies and procedures.
POSITION RESPONSIBILITIES
• Conduct side-by-side sessions with employees in all departments to capture/document procedures and develop content
for training and reference materials. This practice will occur on a daily routine basis.
• Analyze information captured during side-by-side sessions to determine the clearest and most logical way to present
content prior to submission to the Technical Writer.
• Partner with the Technical Writer to review and hand off content.
• Analyze information required for the development or update of policy, procedure and form documentation.
• partner with department heads and manage the validation of all content post completion by the Technical Writer.
POSITION REQUIREMENTS:
• Strong Assertiveness skills with the ability to drive completion of established projects against deadlines.
• Exceptional critical thinking skills with the capacity to make decisions in the midst of ambiguity and abstract ideas.
• Ability to work independently with little supervision or oversight.
• Must have excellent interpersonal and communication skills (both written and spoken).
• Ability to prioritize and execute in a fast-paced environment.
• Ability to receive large amounts of information and convert into manageable learning chunks for documentation purposes.
• Strong detail orientation with the ability to check all technical material for consistency and accuracy
POSITION QUALIFICATIONS
• 2-5 years of related experience. Bachelor’s degree from 4-year institute and minimum of 1 year experience, or
Associate’s degree with a minimum of 2 years’ experience, or a combination of education and direct experience in similar role.

Salary : $43,000 - $55,000
