Full Time Position, Non-Exempt
Starting Pay: $30 - $32
Position is located in Santa Rosa
Office Hours: Monday-Friday 8:30 AM – 5 PM

The Community Child Care Council is looking for a Case Manager to join the 4Cs
team. The ideal candidate will meet with families to determine eligibility and need
for services in the 4Cs subsidized childcare programs. Case Managers must stay
up-to-date and comply with program regulations, maintain complete family and
provider files, and perform all related duties associated with the daily operations of
the 4Cs subsidized childcare programs.
PRIMARY DUTIES & RESPONSIBILITIES:
- Maintain complete and organized files for families and childcare providers on
assigned caseload (approximately 100-130 children).
- Maintain department paperwork, data entry and program systems including,
but not limited to, monthly attendance screening, ECES databases, mailings,
filing, and other clerical tasks as needed.
- Provide parent and provider support services as needed (including site visits)
in accessing community resources, choosing childcare and completing
program requirements with Resource and Referral (trust line) and other
agency departments.
- Work with Fiscal Payment Specialists supporting attendance processing,
including timely and accurate payment.
- Assist with annual department requirements i.e., quality review, parent and
provider evaluations, audit and Contract Monitoring Review preparation and
mass enrollments.
- Comply with all applicable program regulations and funding terms and
conditions.
- Provide excellent customer service, including a friendly and approachable
tone of voice and body language, returning phone calls within twenty-four
hours of receipt of the call, and maintaining positive interactions with others.
- Assist Supervisor and other team members with department duties as
needed (e.g., appointments, screening attendance, file maintenance, back up
to the front desk, etc.
- May serve as officer of the day.
- May assist with basic training for new staff as requested.
- Attend and participate in department staff meetings, monthly all office staff
meetings, and department retreats, in-service trainings, and staff
development opportunities.
- Attend monthly center meetings and site supervisor meetings, as applicable.
- Serve on a minimum of one agency or department committee.
- Participate at 4Cs community outreach events for a minimum of eight hours
per year, as requested.
Additional Level 2 Duties and Responsibilities
- Provide input to supervisors on the continued development and
improvement of department procedures, staff coverage and annual program
requirements.
- Increased caseloads up to approximately 140 children.
- Serve as officer of the day.
- Assist with basic training for new staff.
- Represent 4Cs at community functions and act as liaison with related
childcare agencies, as requested.
SUPERVISORY RESPONSIBILITIES:
- None
- Effective verbal and written communication skills in English. Spanish also
required for some positions.
- Demonstrated knowledge of Microsoft Office programs, e-mail, and internet.
Basic knowledge of office equipment.
- Detail oriented. Demonstrated accuracy with calculating figures and record
keeping.
- Ability to work in a fast-paced environment.
- Excellent customer services skills.
- Ability to work well with people from various social, cultural, economic and
educational backgrounds.
- Experience working with low-income families from culturally and linguistically
- Available to work some evening and weekend hours as needed.
EDUCATION & EXPERIENCE:
- High School Diploma or GED
- Minimum two years' work experience with increased responsibility
preferably in a social service or childcare agency and/or 24 ECE units.

PHYSICAL REQUIEMENTS:
- Prolonged periods of sitting at a desk and working on a computer.
- Must be able to lift 15 pounds at times.
TRAVEL:
- Occasionally, 10% for training or staff meetings.
o A valid California Driver’s License and insured vehicle is needed for
travel for work related purposes. Employees who do not plan to drive
themselves for work-related purposes must submit a travel plan to
their supervisor.
