The purpose of this position is to provide professional level financial support services to an assigned College department, school or division.

Associate's Degree and (3) three years’ experience supporting a Budget Analyst, Accountant or working in a finance/accounting department. Knowledge of and experience using financial management systems required. Must complete and pass Microsoft testing modules which includes Word and Excel. (Candidates with proof of current Microsoft Office Expert Specialist Certification do not need to test.)

Compensation within the posted range is determined by a candidate's education level and/or years of experience in the field.  Generally, employees are hired in the lower third of the scale.

  1. Assist and provide information to administrators as applicable in the college community.
  2. Serve as liaison between the department and other offices or organizations.
  3. Monitor budget, revenue and expense transactions.
  4. Research, analyze and process data into college systems.
  5. Maintain records and files.
  6. Compile reports, documents, forms and correspondence.
  7. Create and track check requests, requisitions, work orders, purchase orders and other request forms. 
  8. Process and manage all relevant financial paperwork for the department.

  1. Track and maintain financial reports (using Excel, college systems and software) to aid senior director and (3) directors in making purchasing decisions based on available funds.
  2. Analyze and track expenditures against monthly maximum allotments (related to P-cards and vendors).
  3. Create and maintain tracking and spenddown reports for department heads
  4. Advise senior director and (3) directors weekly on budgetary issues.
  5. Provide insights on the financial health of the department.
  6. Manage and coordinate reporting, budgeting and re-forecasting.
  7. Create, approve, track and process invoices, check requests, transfers, quotes, eReqs, POs, BOT Exhibits and subscriptions for senior director and (3) directors
  8. Research and gather data for various unit projects such as RFPs, contracts, committee needs and other related projects.
  9. Create and maintain files of all quote/invoice history and associated financial documents.
  10. Develop budget drafts for senior director and (3) directors. 
  11. Develop, solicit, review and evaluate competitive quote documentation.
  12. Maintain accurate database and hard copy files for all vendors associated with all budgets that fall under the senior director.
  13. Main contact for USPS in managing the college’s non-profit mailing account.
  14. Main contact for College Communications with Accounting, Purchasing and Finance teams.
  15. Support unit with assigned data entry, and student/course input as needed.

Salary : $45,682 - $75,505
