What are the responsibilities and job description for the Registration Specialist position at Community College System Of New Hampshire?
SCOPE OF WORK : Supports the Registrar's office with scheduling, room reservations, course creations / changes, registrations, add / drops, transcripts, enrollment verifications, roster collections, waitlist monitoring, reports student records and graduation prep / planning. This position reports to the Registrar at MCC.
ACCOUNTABILITIES :
- Creates and disseminates draft credit schedules for department approval. Upon approval, builds course sections with the identifying course registration number (CRN) for each term and submits the completed schedule to the Marketing department for promotion on MCC's website and printed materials.
- Ensures a high level of customer service in all communications with students, faculty and staff and assists in on campus events.
- Collects class attendance data from faculty after the first-class meeting and after add drop for all credit courses.
- Functions as Registrar's liaison to Workforce Development and for Running Start faculty, including creating CRN's for courses and collecting attendance information.
- Maintains course waitlists and manages the utilization of classroom space on campus.
- Supports the daily office functions of the Registrar's office including transcript requests, maintenance of student records, degrees audits and responding to office correspondence
- Coordinates input of the data into the Banner system to track student enrollments and prepares required reports. Assists with preparation and distribution of enrollment data.
- Maintains a high level of confidentiality and security of all information related to student records as outlined in FERPA regulations.
- Maintains up-to-date knowledge of academic policies and procedures and is familiar with the general processes of other HUB Student Services Center offices such as Admissions and Financial Aid.
- Verifies student attendance and / or degrees awarded electronically for the National Clearinghouse.
- Participates in professional development activities and serves on college or CCSNH committees and teams.
- Complies with all system, college, state and federal rules and regulations.
- Performs other duties as assigned.
MINIMUM QUALIFICATIONS :
Education : Associate's degree from a recognized college or technical institute with a major study in business administration, computer science, social sciences or other related field. Each additional year of approved formal education may be substituted for one year of required work experience.
Experience : Two (2) years' experience in an administrative position, including experience in customer service, education, or higher education administration or services. Each additional year of approved work experience may be substituted for one year of required formal education.
DESIRED QUALIFICATIONS : Experience with computerized integrated student records system preferred. Bilingual preferred.
RECOMMENDED WORK TRAITS : Knowledge of the College's academic programs, academic records management, and the Registrar's operations. Experience in utilizing technology including Office Suite, and Banner. Detail orientated and experienced in accurate data entry. Ability to work independently and as a member of a team. Ability to exercise proper judgement and to handle matters with diplomacy. Ability to manage multiple tasks and priorities and to gather and analyze information in response to inquiries or to resolve problems. Ability to work with diverse populations. Ability to supervise others. Knowledge of the procedures and practices involved in interviewing. Knowledge of office record keeping and reporting. Ability to gather, assemble, correlate and analyze facts and identify existing or potential problems. Ability to contribute to the development of sound operational procedures. Ability to follow specific instructions in gathering facts, data or resources in organizing required information. Ability to make decisions based upon fact-finding interviews within the parameters of the rules and policies of the agency. Ability to meet with students and the general public and explain programs sponsored by the College or CCSNH. Ability to present ideas clearly and effectively. Ability to establish and maintain effective working relationships with other employees and the general public. Must be willing to maintain an appearance appropriate to assigned duties and responsibilities as determined by the college's appointing authority.
