General Summary The Business Administrator plays a vital role in managing the day-to-day front office operations at Community Dental Clinic. This position ensures the delivery of exceptional administrative support, contributing to an organized, professional, and patient-centered environment. The Business Administrator is responsible for coordinating schedules, maintaining clear communication with patients and staff, and fostering a welcoming atmosphere. This position requires strong multitasking skills, self-motivation, and the ability to collaborate effectively with the dental team to meet daily goals and provide outstanding service.
Duties and Responsibilities
- Patient Interaction: Greet patients warmly, schedule appointments, and answer inquiries about the clinic.
- Front Office Coordination: Maintain a neat reception area, retrieve voicemails, and manage daily operations efficiently.
- Administrative Tasks:
- Create and update patient charts in Dentrix.
- Scan, fax, and file necessary documentation (e.g., lab cases, health histories, medical clearances).
- Coordinate with laboratory services for case management.
- Provide assistance on additional tasks as needed.
- Patient Support: Update and stock patient resources, assist patients with questions and set patients up with support services.
- Team Collaboration: Communicate with volunteers, staff, and external partners to support clinic operations.
- Supplies Management: Monitor and replenish office supplies and maintain organized storage areas.
- Compliance: Follow guidelines under Sovereign Immunity and complete CDC-provided training.
Knowledge, Skills, and Abilities
- Proficient in Microsoft Office Suite (Excel, PowerPoint) and capable of internet-based research.
- Strong organizational skills and attention to detail.
- Excellent customer service and communication abilities.
- Moderate knowledge of dental terminology and procedures, but willing to train
- Familiarity with Dentrix or similar dental software preferred, but willing to train
Experience and Qualifications
- High School diploma or equivalent (required).
- Minimum of 1 year of administrative experience (preferred).
- HIPAA certification (training provided).
Working Conditions
- Ability to sit, stand, walk, bend, and lift up to 30 pounds.
- Work both indoors and outdoors in varied conditions.
- Must pass a background check.
Time Commitment
- Full-time schedule: Monday–Friday (8-hour shifts) with occasional after-hours events.
