Duties include greeting and directing customers/visitors in office, creating a welcoming environment for all, operating a multi-line telephone system answering calls and directing calls. May assist other employees with data entry and other assigned tasks. Candidates must have a desire to help others, be detailed oriented, organized, be able to work in a fast-paced environment, and have strong in-person, telephone and written communication skills. Job Responsibilities
· Greet people entering the office, answering questions, providing directions and alerting staff when someone is there to meet or visit them
· Serve as the face of the company, offering friendly service to those entering the building or calling in on the phone
· Answer a multiple line phone system, manage calls by routing them to the proper extensions or taking messages and delivering them within our message system along with setting up conference calls as requested
· Accept deliveries and mail, and distribute them to the correct recipients in a timely manner while also managing outgoing mail and packages for pickup
· Maintain the reception area and closing rooms keeping them clean and free of clutter
· Handle filing and data entry as requested.
Job Skills & Qualifications
Required:
· High school diploma or GED
· At least two years of training or experience in customer service and office work
· Computer proficiency
· Strong verbal and written communication skills
· Ability to work independently
· Verbal and written communication skills to interact clearly with customers, vendors and other employees
· Organization skills to keep accurate records and find important information quickly
· Time management skills to prioritize and complete a side variety of tasks throughout the day
· Patience and listening skills to respond appropriately and interact positively with upset customers
· Interpersonal skills to create a pleasant experience for all customers, such as being personable and attentive
Preferred
· College or associates degree in business administration, or comparable
